About The Role

Role Overview:

Based at BCA Automotive’s Doncaster Depot, this is a varied role providing full administrative support to the Training and QHSE Teams. Having a shared reporting line to the Training Manager and Quality, Health, Safety, and Environment Manager, the post holder’s key responsibilities will be, but not limited:

  • Provide general administrative support for the Training and QHSE Departments.

  • Including organising new starter packs for new drivers.

  • Ensure that all training and Driver Certificate of Professional Competence (CPC) materials are prepared and delivered to the relevant Trainer in a timely manner prior to training being delivered.

  • Booking of hotels along with venues for offsite training and events.

  • Ensure that all training carried out is recorded accurately and that all paperwork is kept and stored in accordance with company policy and legislative requirements and is readily auditable.

  • Support the Driver Trainers in ensuring that all stages of the CPC process are correctly planned, administered, and recorded. Ensuring that CPC registration and records are maintained and uploaded onto the DVSA database.

  • Monitor all Driver’s CPC hours and maintain a renewal schedule to ensure that all Drivers are compliant, and that the Driver Trainers can plan training schedules. This may also include the booking of external courses if in house training is not available.

  • Organise and book delegates onto training sessions including sending joining instructions and ensuring that a suitable venue is booked and that any special requirements are catered for.

  • Collate and record course evaluation feedback, reporting any trends or concerns to the Senior Driver Trainer.

  • Take minutes for investigations.

  • Support the Driver Training Manager in ensuring that the Company is JAUPT compliant, and that all relevant information is recorded and reviewed accordingly to maintain accreditation.

  • Assisting with enquires where possible when Training Manager is unavailable.

  • Maintaining of JLR validation register along with issuing of JLR cards in addition to the issuing of standard driver cards.

  • Support the QHSE Manager in producing KPI and statistics reports to demonstrate the Company’s performance.

  • Carry out ISO audits to required standards.

  • Provide administrative support to the QHSE Manager in retaining the Company’s accreditation for ISO 9001, 14001 \& 45001\.

  • Help maintain SharePoint files/documents.

  • Support the QHSE Manager in the administration of the accident reporting, recording, and investigation process.

  • Support the QSHE Manager in the administration of risk management and compliance issues.

  • Support the QSHE Manager in the administration of Employer’s and Public Liability claims.

  • Maintain Health and Safety records and databases, ensuring that they are kept in an auditable condition.
Person Specification:

The ideal candidate will possess:

  • A minimum of 5 GCSEs (or equivalent / relevant qualification) grade A to C, including English and Maths.

  • The ability to plan and prioritise your workload, ensuring that weekly deadlines are met along with ad\-hoc tasks.

  • Proficient user of Microsoft Office, particularly Excel.

  • Excellent communication skills and experience of liaising with internal and external customers / bodies.
