About Us
Gold Sketch Studios is a busy and growing architectural and planning consultancy based in Prestwich, Manchester. We're a team of 12 working across a wide range of residential and commercial projects, from planning applications and HMO developments to architectural design and measured surveys. We're looking for a highly organised and proactive Studio Assistant \& PA to keep the studio running smoothly and support our Director and technical team.
The Role
This is a varied and hands\-on role at the heart of the studio. You'll be the first point of contact for clients and visitors, provide direct PA support to the Director, and keep the day\-to\-day operations of the office running efficiently. No two days are the same.
Key Responsibilities
General Studio Administration
- Answering and directing phone calls in a professional and friendly manner
- Managing and responding to emails on behalf of the team
- Writing up notes, letters, and emails from dictation
- Researching and compiling information as directed
- Maintaining and organising the studio filing system (digital and physical)
- Ordering office supplies and managing studio equipment
- Managing the Director's diary, scheduling meetings and appointments
- Booking travel and site visits
- Preparing agendas, taking meeting notes, and following up on actions
- Handling confidential correspondence with discretion
- Supporting with client communications and follow\-ups
- Running errands on behalf of the Director as required
- Assisting with the preparation and submission of planning applications
- Uploading documents to local authority planning portals
- Tracking the progress of live planning applications and flagging key dates and deadlines
- Maintaining project files and ensuring drawings and documents are correctly named and stored
- Liaising with clients, local authorities, and external consultants on behalf of the team
- Assisting with the preparation of fee proposals and invoices
- Supporting the team with general project administration as required
- Strong organisational skills with excellent attention to detail
- Confident communicator, both written and verbal
- Comfortable working in a fast\-paced environment and managing multiple tasks
- Proficient in Microsoft Office (Word, Excel, Outlook)
- Previous experience in an office, PA, or administrative role is essential
- Experience in an architectural, construction, or property environment is desirable but not essential — full training will be given
