Role Overview
The Product Data Administrator oversees the structure and lifecycle of engineering data and technical documentation within our Enterprise Resource Planning (ERP) system, IFS Cloud. You will act as the gatekeeper for engineering parts, product structures, and document connections, ensuring seamless data flow from design through to manufacturing and procurement, working across all Tricel sites.
You will work within the Engineering team, collaborating closely with Development Engineers to manage and complete tasks within New Product Introduction (NPI) projects and help ensure project deadlines are maintained.
Key Responsibilities
- Create, classify, and maintain engineering parts, bills of materials (BOMs), and product structures within IFS PDM.
- Manage technical drawings, specifications, and data sheets within IFS Document Management, overseeing revisions from draft through to release.
- Configure and maintain document\-object connections, ensuring documentation flows dynamically to active shop orders, purchase orders, and inventory parts.
- Administer engineering change management (ECM) workflows, routing part and document revisions through defined approval processes.
- Conduct regular data integrity audits to ensure metadata, revision levels, and document attributes align with internal quality standards.
- Work closely with Engineering, Operations, Supply Chain and Quality teams to streamline configuration control and resolve data\-related issues.
- Support Development Engineers in delivering New Product Introduction (NPI) projects and meeting project timelines.
- Assist in the development and maintenance of document control procedures and standard operating procedures (SOPs).
- Provide training and guidance to system users where required.
- Any other duties as assigned.
- Experience managing document control systems, ideally within IFS Cloud or IFS Applications.
- Strong understanding of engineering part structures, revision control principles and bill of materials (BOM) management.
- Experience working with document management systems, engineering change orders (ECO/ECN), and access control structures.
- Excellent attention to detail with a strong focus on data accuracy and integrity.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Effective communication skills and the ability to work collaboratively across multiple departments and locations.
- Proficient in Microsoft Office applications and comfortable working with ERP systems.
- Problem\-solving mindset with the ability to identify and resolve data inconsistencies.
- Ability to work independently while contributing positively within a team environment.
