About the Role
We are looking for an organised, proactive and adaptable Administrative Assistant to join our hospital team.
This is a varied, hands\-on role providing administrative support across the hospital, working closely with the Operations Manager, CEO, senior management and colleagues across all departments. The successful candidate will help ensure the smooth day\-to\-day running of hospital services by maintaining accurate records, preparing documentation, supporting internal communications and assisting with a wide range of administrative tasks.
This role would suit someone who enjoys variety, takes pride in their work, has excellent attention to detail and is happy to support different teams as priorities change.
Key Responsibilities
General Administration
- Provide day\-to\-day administrative support to the Operations Manager, CEO and senior management team.
- Prepare, scan, organise and maintain hospital documentation, ensuring records are accurate, up to date and securely stored.
- Maintain electronic and paper filing systems, ensuring information is organised and easily accessible.
- Prepare, organise and maintain surgical notes and associated documentation as required.
- Assist with the preparation of reports, correspondence, meeting agendas, minutes and other management documentation.
- Maintain departmental forms, templates, records and administrative resources.
- Prepare, update and produce posters, notices, signage and other communication materials throughout the hospital.
- Compile and distribute the hospital's weekly newsletter, liaising with departments to gather news, updates and relevant information.
- Maintain noticeboards, displays and internal communications to ensure information is clear, accurate and current.
- Provide administrative assistance to HR, including filing and maintaining personnel documentation.
- Support the Finance department with filing, document preparation and general administrative tasks.
- Work collaboratively with clinical and non\-clinical teams, providing administrative assistance according to departmental needs.
- Provide reception cover during periods of absence, annual leave or increased activity, as required.
- Assist with audits, document control, quality improvement initiatives and operational projects.
- Support the organisation of meetings and help ensure relevant documentation is prepared in advance.
- Undertake a variety of ad hoc administrative duties to support the effective running of the hospital.
- Respond flexibly to changing priorities and provide additional support where required.
We are looking for someone who is reliable, professional and comfortable working in a busy hospital environment.
The ideal candidate will have:
- Previous experience in an administrative or office support role.
- Excellent organisational skills and strong attention to detail.
- Good written and verbal communication skills.
- Competence in Microsoft Office and confidence using electronic filing systems.
- The ability to manage multiple tasks, prioritise workloads and meet deadlines.
- A professional and discreet approach when handling confidential information.
- A positive, flexible attitude and the confidence to work independently as well as part of a team.
- A willingness to assist colleagues across different departments and take on a variety of responsibilities.
General Responsibilities
- Complete all mandatory training within the required timescales.
- Comply with hospital policies, procedures and applicable legislation.
- Maintain strict confidentiality when handling patient, employee and organisational information.
- Follow hospital health and safety procedures and contribute to a safe working environment.
- Support continuous improvement and contribute positively to the overall efficiency of hospital services.
- Undertake other reasonable duties appropriate to the role, as directed by the Operations Manager, CEO or senior management team.

Pay: £13\.00 per hour
