Summary
We are seeking a dedicated Finance, Procurement \& Operations Administrator to join our team. Based in Cheshunt, Waltham Cross this role is vital in ensuring the smooth financial and operational functioning of our organization, supporting our commitment to high\-quality care.
The Role: Part time, working minimum 3 or 4 days a week. This is an office\-based, operational role with a high degree of responsibility. You will oversee digital organization, financial paperwork, equipment purchasing, and routine internal auditing across all 3 homes.
Key Responsibilities:
Executive PA Support: Manage calendars and administrative tasks directly for the Director of Care.
iCloud Filing Systems: Structure, build, and optimize secure cloud\-based data storage for staff and child records.
Finance \& Payroll: Administer monthly payroll variances, invoice generation, and digital expense tracking.
Procurement: Oversee equipment ordering and purchasing across all 3 homes, ensuring budget caps are respected.
Internal Auditing: Conduct routine checking of digital records, spending trails, and administrative files to guarantee strict sector compliance.
Requirements
Proven experience in a business administration, bookkeeping, or office manager role.Strong technical comfort building cloud filing infrastructure (iCloud, OneDrive, or similar).
Sharp mathematical aptitude and a natural talent for spotting errors during database audits.
Trustworthy nature to handle confidential care sector information with discretion.
Responsibilities
- Manage financial transactions, including invoicing, budgeting, and expense tracking.
- Oversee procurement processes to ensure timely acquisition of supplies and services.
- Support daily operational activities to maintain efficient service delivery.
- Collaborate with team members to improve administrative workflows.
- Maintain accurate financial records in compliance with organizational policies.
- Assist in preparing reports for management review.
- Ensure adherence to relevant financial regulations and standards.
- Contribute to the continuous improvement of administrative procedures.
- Qualifications
- Proven experience in finance, procurement, or operations administration.
- Strong organizational and communication skills.
- Ability to handle sensitive financial information with confidentiality.
- Knowledge of financial software and Microsoft Office Suite.
- Preferred: Level 3 qualification in childcare or related field.
- Experience working within social care or children’s services is advantageous.
- Ability to work independently and as part of a team.
- Attention to detail and problem\-solving skills.
