White Horse Medical Practice is seeking a motivated, organised, and proactive Practice Business Administrator to support our Operations Manager and Senior Management Team in delivering high\-quality services to our patients and staff.

This is a varied and rewarding role at the heart of a busy GP practice, providing administrative support across operational management, patient complaints, communications, compliance, governance, and facilities management. The successful candidate will play a key role in helping the practice maintain excellent standards of patient care, regulatory compliance, and organisational effectiveness.

Main Duties and Responsibilities

The post holder will:

Business and Administrative Support

  • Provide comprehensive administrative support to the Operations Manager and Senior Management Team.

  • Assist with the organisation of meetings, preparation of agendas, reports, presentations, and meeting minutes.

  • Maintain accurate records, databases, and filing systems.

  • Support practice projects, business planning, and service improvement initiatives.

  • Assist with the development and maintenance of policies, procedures, and operational documentation.

  • Support the onboarding of new starters, including preparing induction materials, coordinating pre\-employment documentation, arranging system access, training schedules, and ensuring all required records are maintained.

  • Work with managers to facilitate a smooth induction process and positive employee experience for new members of staff.
Complaints and Patient Experience
  • Coordinate the administration of the practice complaints process.

  • Log, monitor, and track complaints, ensuring responses are managed within required timescales.

  • Support investigations and the preparation of complaint responses.

  • Assist with patient feedback and engagement activities.
Communications, Website and Social Media
  • Maintain and update the practice website, ensuring information remains accurate and accessible.

  • Create and publish patient communications, service updates, and health promotion messages.

  • Manage the practice's social media accounts in line with practice policies and NHS guidance.

  • Support communication campaigns and patient engagement initiatives.
Compliance and Governance
  • Support the practice in meeting CQC and other regulatory requirements.

  • Maintain governance and compliance records, audits, and evidence files.

  • Monitor training records and support compliance reporting.

  • Assist with policy reviews and document control processes.

  • Support quality improvement activities and regulatory inspections.
Premises and Facilities Support
  • Assist with the coordination of building maintenance, repairs, and contractor visits.

  • Maintain records of statutory checks, servicing schedules, and health and safety requirements.

  • Support the management of premises\-related issues and ensure timely follow\-up of maintenance requests.

  • Assist with business continuity and health and safety administration.
About You

We are looking for someone who:

  • Has excellent organisational and administrative skills.

  • Is confident managing multiple priorities and meeting deadlines.

  • Has strong written and verbal communication skills.

  • Is highly IT literate, with experience using Microsoft Office applications.

  • Works effectively both independently and as part of a team.

  • Has a professional, positive, and flexible approach.

  • Is able to handle confidential and sensitive information appropriately.
Essential Criteria
  • GCSEs (or equivalent) including English and Maths.

  • Previous experience in an administrative role.

  • Excellent attention to detail and organisational skills.

  • Strong interpersonal and communication skills.

  • Experience using Microsoft Office and digital systems.
Desirable Criteria
  • Experience working in an NHS, healthcare, or primary care environment.

  • Experience supporting complaints management.

  • Experience maintaining websites or social media accounts.

  • Knowledge of CQC requirements and healthcare governance processes.

  • Experience coordinating facilities or premises management activities.

  • Experience supporting recruitment, onboarding, or workforce administration processes.
