Veterinary Receptionist / Client Care Assistant
Job Overview
We are seeking a motivated and customer\-focused individual to join our Client Care team at Yorkshire Independent Referrals (YIR).
Yorkshire Independent Referrals is a specialist veterinary hospital based in Brighouse, West Yorkshire. We provide advanced medical, surgical, and diagnostic care for referred patients from primary care veterinary practices. Our areas of expertise include orthopaedics, spinal surgery, neurosurgery, cardiology, and advanced diagnostics.
As a Client Care Assistant, you will play a key role as the first point of contact for both clients and referring veterinary practices. You will work closely with our clinical teams to ensure an exceptional standard of service and a seamless experience for our patients and their owners. This is a highly valued, client\-facing role requiring professionalism, empathy, and strong organisational skills. Duties
- Provide a warm, professional welcome to clients, representing the referral hospital at all times.
- Respond to client enquiries accurately and liaise effectively with the veterinary team
- Manage challenging conversations with empathy and professionalism
- Coordinate appointments and surgical bookings through effective diary management
- Oversee client flow from admission through to discharge
- Handle client communications via telephone and email
- Process payments and manage daily cash handling, including banking
- Administer prescription requests and general administrative duties (scanning, filing, etc.)
- Manage insurance documentation, claims, and related queries, including excess payments
- Communicate with external veterinary practices
- Support social media activity as required
- Maintain cleanliness and presentation of reception and office areas
- Ensure compliance with GDPR regulations
- Proven experience in a customer\-facing role (essential)
- Previous reception experience (preferred)
- Experience within a veterinary environment (desirable)
- Strong administrative and IT skills, including Microsoft Office
- Ability to work efficiently under pressure
- Excellent communication and interpersonal skills
- A genuine passion for animal care
- £12\.71 per hour
- Part\-time: 3 days per week (Monday, Tuesday, Wednesday), 8:00am – 6:00pm
- 30\-minute unpaid break
- 18\.5 days annual leave (including bank holidays, pro rata)
