About Bryght

Bryght Ltd is an event technology, AV, furniture and immersive experience hire company based in Telford, working across exhibitions, conferences, brand activations, corporate events and live experiences throughout the UK and occasionally overseas.

We supply and install LED screens, TVs, AV equipment, event furniture, gaming experiences, racing simulators, VR activations, modular event structures and branded event solutions.

We are now looking for a highly organised Transport, Travel \& Event Coordinator to help keep our day\-to\-day operations running smoothly.

Role Overview

This is a key coordination role within the business, helping to organise transport, crew schedules, deliveries, collections, staff travel, accommodation, event paperwork and general administration.

You will work closely with the Directors, sales team, warehouse team, drivers and event technicians to make sure the right people, equipment, vehicles, travel arrangements and paperwork are in the right place at the right time.

This is not a senior Operations Manager role, but it is an important hands\-on coordination role for someone who enjoys organising people, solving problems and keeping lots of moving parts under control.

The ideal person will be organised, calm under pressure, confident speaking to staff, clients, suppliers and venues, and comfortable working in a busy events business.

Key ResponsibilitiesTransport \& Logistics Coordination

Plan and coordinate daily vehicle movements, deliveries and collections.

Schedule drivers, vans and transport routes efficiently.

Liaise with warehouse staff to make sure jobs are prepared, loaded and dispatched correctly.

Check delivery notes, job sheets and collection details before jobs leave the warehouse.

Communicate with drivers and crew throughout the day to deal with changes, delays or issues.

Coordinate collections after events and make sure returning equipment is tracked and accounted for.

Help reduce unnecessary trips, wasted vehicle movements and last\-minute transport issues.

Assist with vehicle\-related admin including mileage, fuel cards, MOT dates, servicing, insurance, damage reporting and general vehicle records.

Event Coordination Support

Review upcoming jobs and make sure key information is complete before the event.

Help coordinate crew, vehicles, access times, delivery slots, build schedules and collection times.

Liaise with clients, venues, stand builders, contractors and suppliers where required.

Confirm important site details such as loading bays, parking, access restrictions, site contacts, build times and collection windows.

Help prepare and distribute job sheets, delivery notes, internal schedules and event information.

Support the team with last\-minute changes and practical problem\-solving.

Make sure clear information is shared between sales, warehouse, transport and installation teams.

Travel \& Accommodation

Book hotels, flights, train tickets, hire vehicles, parking and other travel arrangements for crew and staff.

Coordinate accommodation for event teams, making sure it is practical, cost\-effective and suitable for the job location.

Prepare and share travel itineraries with crew, including hotel details, travel times, parking instructions, site contacts and event schedules.

Keep accurate records of travel bookings, costs, receipts and job numbers.

Help ensure staff have the information they need before travelling to events.

Track key travel deadlines and avoid last\-minute bookings where possible.

Event Paperwork \& Documentation

Manage event\-related paperwork including access forms, RAMS, method statements, delivery notes, site information and supplier forms.

Support with international event logistics, including documentation for customs, carnets and temporary export of equipment.

Liaise with freight companies, customs agents, suppliers and internal teams to help ensure international event movements are properly documented.

Track deadlines for venue forms, supplier forms, travel bookings, carnets, customs information and event paperwork.

Maintain organised records for vehicles, events, staff schedules, travel bookings and job documentation.

General Administration

Answer calls and emails where required.

Help keep our CRM and job management systems updated.

Support with quote follow\-ups, client communication and supplier admin.

Assist with purchase orders, supplier bookings and general office paperwork.

Help chase missing information from clients, venues, suppliers or internal team members.

Support the Directors and managers with day\-to\-day admin tasks.

Assist with improving internal processes, checklists and job information flow.

What We’re Looking For

Highly organised and able to manage multiple jobs at once.

A strong communicator, both written and verbal.

Confident speaking to drivers, crew, clients, suppliers and venues.

Calm under pressure and able to think practically when problems arise.

Strong attention to detail.

Comfortable using computers, spreadsheets, email and job management systems.

Able to take ownership of tasks and follow things through properly.

Practical and proactive, with a willingness to get stuck in.

Comfortable working in a fast\-moving environment where priorities can change quickly.

Experience That Would Be Useful

Experience in events, AV, exhibitions, transport, logistics, hire, warehousing or operations coordination.

Experience planning deliveries, routes, crew schedules or vehicle movements.

Experience booking hotels, flights, crew travel or accommodation.

Experience preparing event paperwork such as RAMS, access forms, delivery notes or site documentation.

Experience with carnets, customs paperwork, freight forwarding or international event logistics would be highly beneficial, although training can be provided.

Experience using systems such as Current RMS, HireHop, TeamTrack, Monday.com, Trello, Google Workspace, Microsoft Office or similar.

Customer service or office administration experience.

An understanding of UK event venues, exhibitions or conference environments would be an advantage.

The Person We Need

This role would suit someone who enjoys organising chaos, keeping people on track and making sure things actually happen.

You do not need to be a technical AV expert, but you do need to be confident, proactive and comfortable working in a practical, hands\-on events business.

You will need to be the kind of person who spots problems early, asks the right questions, communicates clearly and follows things through properly.

What Success Looks Like

Jobs leave the warehouse on time with the correct equipment, crew, vehicles and paperwork.

Drivers and crew know where they need to be, when they need to be there and what they are doing.

Hotels, flights and travel arrangements are booked properly and cost\-effectively.

Venue forms, access details, RAMS, carnets and other paperwork are completed on time.

There are fewer missed items, duplicated trips, late bookings and last\-minute surprises.

Clients, venues and suppliers receive clear communication.

The sales, warehouse and event teams feel better supported.

The Directors spend less time firefighting basic scheduling, transport and admin issues.
