Role Purpose:
To manage day\-to\-day transport, travel and accommodation for UK construction operations, ensuring employees and site personnel travel safely and efficiently between locations and receive suitable, cost\-effective accommodation when working away from home.
Key Responsibilities:
Transport Management
- Plan and co\-ordinate transport requirements for employees and directors
- Maintain an accurate record of company vehicles, drivers, bookings and transport arrangements
- Liaise with drivers, site managers, project managers and employees to ensure transport requirements are met
- Co\-ordinate vehicle movements between projects and locations
- Ensure vehicles are allocated appropriately based on operational requirements
- Monitor vehicle availability, servicing, MOTs, inspections and maintenance schedules
- Liaise with garages, vehicle hire companies and breakdown providers where required
- Arrange vehicle hire and replacement vehicles when necessary
- Monitor fuel usage, mileage and other transport\-related costs
- Ensure transport arrangements comply with company procedures and relevant UK legislation
- Identify opportunities to improve transport efficiency and reduce unnecessary costs
- Deal promptly with transport issues, breakdowns, delays and changes to site requirements
- Arrange hotel accommodation for employees and sub\-contractors working away from home
- Source suitable hotels based on location, availability, price, quality and proximity to construction sites
- Make, amend and cancel hotel bookings as required
- Manage accommodation requirements across multiple construction projects and locations
- Maintain an accurate central record of all hotel bookings, including names, dates, locations, booking references and costs
- Liaise directly with hotels and accommodation providers to negotiate rates and resolve booking issues
- Monitor check\-in and check\-out dates and ensure bookings are extended or amended where project requirements change
- Ensure workers have suitable accommodation when projects require overnight stays
- Identify cost\-effective accommodation options while maintaining appropriate standards
- Reconcile hotel invoices against bookings and investigate any discrepancies
- Maintain preferred hotel and accommodation supplier lists
- Develop and maintain good relationships with accommodation providers
- Maintain accurate transport, accommodation and travel records
- Prepare regular reports on vehicle usage, accommodation costs and transport expenditure
- Monitor budgets and identify cost\-saving opportunities
- Process invoices, purchase orders and booking confirmations where required
- Maintain spreadsheets and internal systems relating to transport and accommodation
- Provide regular updates to project and site management teams
- Respond quickly to changes in workforce numbers, project programmes and site locations
- Coordinate last\-minute travel and accommodation requirements
- Ensure all relevant documentation is filed and readily accessible
- Support the Operations and Commercial teams with transport and accommodation information
- Maintain confidentiality when dealing with employee and company information
- Ensure all transport arrangements are planned with safety as a priority
- Assist with monitoring driver compliance and vehicle documentation
- Report transport\-related incidents, accidents or concerns to the appropriate manager
- Support the company in maintaining a safe and compliant transport operation
- Work closely with site and health \& safety teams where transport arrangements may affect site operations
- Experience working within the UK construction industry
- Previous experience managing transport or accommodation
- Experience negotiating hotel or vehicle hire rates
- Knowledge of UK driving, vehicle and transport compliance requirements
- IOSH, CPC or other relevant transport/logistics qualifications would be advantageous
- Full UK driving licence preferred
- Ability to manage multiple bookings, vehicles, employees and locations simultaneously
