Studio Operations Administrator
Job Purpose
We’re looking for a highly organised, practical, and dependable Studio Operations Administrator to support the day\-to\-day running of our operations and administrative systems.
This is a varied, hands\-on role that supports many areas of the business, including inventory administration, purchasing, warehouse organisation, production administration, wholesale order processing, customer service, and general operational coordination.
The role is ideal for someone who enjoys creating structure and organisation, takes pride in accuracy and follow\-through, and likes helping things run smoothly behind the scenes. We’re looking for someone proactive and solutions\-focused, but also grounded and practical \- someone who enjoys creating and maintaining organised, reliable systems and processes over time.
You’ll work closely with the wider team to help reduce operational friction, maintain accurate records, support day\-to\-day workflows, and ensure information is organised and reliable.
As a growing business, our systems, processes, and operational structures continue to evolve over time, and we’re looking for someone who is comfortable learning, adapting, and growing alongside the business.
Key Responsibilities
Inventory \& Stock Administration
- Carry out day\-to\-day administration within Katana (our inventory and production management system), helping maintain accurate and up\-to\-date stock records
- Raise and process purchase orders, track deliveries, and liaise with suppliers regarding orders and deliveries
- Support goods\-in processes \- receiving, checking, recording, and organising incoming stock
- Help maintain clear and accurate stock location records
- Support inventory accuracy across internal systems and sales platforms
- Support production administration, including processing make orders and maintaining accurate production records
- Help ensure operational information is organised, accessible, and reliable
- Assist with documenting operational processes and maintaining shared systems and records
- Support the wider operations team with administrative and coordination tasks as required
- Support wholesale order administration, including processing make orders and maintaining accurate production records
- Maintain accurate records across operational and sales systems
- Assist with customer service and operational email communication where needed
- Provide occasional administrative support for marketing activity, including email campaign preparation, asset organisation, and maintaining shared records and systems
- Support the wider team with general coordination and administrative tasks where required
- Provide broad administrative support across the business
- Maintain digital files, records, and shared systems in a clear and organised manner
- Help identify opportunities to improve organisation, efficiency, and operational clarity over time
- Act as a dependable and collaborative point of support for the wider team
- Support wider studio tasks where required in a small business environment
- As a small and growing business, team members are occasionally required to support wider operational tasks outside their core responsibilities when needed
- Highly organised with strong attention to detail

- Experience using inventory, operations, or e\-commerce systems such as Katana, Shopify, Klaviyo, or similar platforms
- Previous experience in administration, operations, stock control, production administration, or a similar role
- Experience working in a small, fast\-moving business environment
- Interest in improving systems, organisation, and operational efficiency over time
Pay: £25,000\.00\-£28,000\.00 per year
