Senior Finance & Accounts Administrator
About the Role
We are a growing five\-site hospitality business with a clear internal finance structure. This role is responsible for the day\-to\-day transactional finance function and for making sure that processing, reconciliations and supporting records are accurate, organised and up to date.
The role works is three days per week and is supported by a full\-time Accounts Apprentice. A key part of the position is therefore planning and dividing work effectively across the week, communicating clearly, reviewing delegated work and ensuring the finance\-processing function continues smoothly on non\-working days.
Core Responsibilities
1\. Transactional Finance
· Process and oversee supplier invoices, purchase ledger entries and expenditure coding.
· Ensure takings are accurately recorded and reconciled to funds received.
· Raise sales invoices as necessary and ensure timely collection of amounts due.
· Complete supplier statement, bank and account reconciliations as required.
· Manage credit notes, routine supplier queries and supporting documentation.
· Prepare information for supplier payments and month\-end processes.
· Receive, process and reconcile credit cards.
· Resolve processing discrepancies and ensure financial records remain complete and organised.
· Ensure the underlying financial data provided to the Commercial Finance \& Performance Lead and external management accountants is accurate and timely.
2\. Accounts Apprentice – Work Allocation \& Development
· Take day\-to\-day responsibility for allocating appropriate processing work to the full\-time Accounts Apprentice.
· Set clear priorities, deadlines and instructions, including work to be completed on the Senior Administrator’s non\-working days.
· Review progress and check delegated work where appropriate.
· Coach the Apprentice, explain errors and progressively increase responsibility as capability develops.
· Ensure the Apprentice has productive, relevant work and understands how their tasks fit into the wider finance process.
· Maintain regular, clear handovers so part\-time working does not create gaps or uncertainty.
3\.Month\-End \& Finance Team Support
· Keep processing sufficiently up to date to support month\-end reporting.
· Provide requested transaction\-level information and supporting records promptly.
· Work constructively with the Commercial Finance \& Performance Lead and external management accountants.
· Prepare and process moth end accounting adjustment accurately and on a timely basis.
· Resolve transactional questions so senior finance time can remain focused on analysis, performance and decision support.
Handle sensitive financial information with discretion and use only the information necessary to perform the role accurately. Where clarification is genuinely required for accurate processing, reconciliation or financial control, raise it directly with the Directors or appropriate senior finance contact rather than seeking additional confidential information elsewhere in the business.
Systems \& Process Improvement
· Use accounting software, spreadsheets and digital systems confidently and accurately.
· Support agreed improvements to processing and controls as the business introduces more automation.
· Help the Accounts Apprentice adopt new processes consistently.
· Identify unnecessary duplication or administration and suggest practical improvements within the transactional finance remit.
Person Specification
· Strong practical bookkeeping/accounts experience and confidence with high transaction volumes.
· Highly organised, accurate and reliable with deadlines.
· Confident delegating, communicating and supporting a junior team member.
· Good judgement and emotional intelligence when handling sensitive information or queries.
· Comfortable distinguishing between a genuine accounting requirement and information outside the remit of the role.
· Confident with accounting systems, spreadsheets and digital processes.
· Proactive in resolving routine finance issues without unnecessary escalation.
· Open to technology, automation and improved ways of working.
· Experience in hospitality, retail or another multi\-site business would be advantageous.
Working Pattern \& Remuneration
Working pattern: Monday \- Friday (40 hours) In person at our company office
Holiday: Pro\-rated to the agreed working pattern and contractual arrangements.
Pay: £30,000\.00\-£35,000\.00 per year
