About the Role and Our Team
We are seeking a highly motivated and capable individual to join our practice in the dynamic and crucial role of Receptionist. This position offers a unique opportunity to be a central part of our dedicated clinical team, working collaboratively within the practice environment, while also engaging with our broader network of specialist orthodontic practices .
You will be an integral member of a multi\-disciplinary team committed to providing exceptional patient care and service. Your colleagues will include:
- The Practice Manager, overseeing the smooth and efficient running of the clinic.
- Specialist Orthodontists and Orthodontic Therapists, providing clinical care and treatment.
- Experienced Dental Nurses, supporting all clinical procedures.
- A team of other Receptionists, ensuring excellent front\-of\-house operations.
- Our in\-house Dental Lab team, responsible for the creation and adjustment of orthodontic appliances.
Scottish Orthodontics is a busy, specialist practice focusing exclusively on orthodontics. We are conveniently situated in Carluke.
We pride ourselves on offering a comprehensive range of orthodontic services, accommodating both NHS (National Health Service) and Private patient care, treating a diverse patient demographic and a wide variety of orthodontic needs.

The successful candidate will be the first point of contact for our patients and visitors, making their characteristics and professional manner paramount to the patient experience. The key attributes we are seeking in our ideal receptionist include:

- Empathic to a Wide Range of People: Demonstrating genuine sensitivity and understanding towards patients of all ages, backgrounds, and emotional states, particularly those who may be nervous or anxious about their treatment.
- Punctual and Dependable: Reliability is critical in maintaining the smooth operation of our busy front desk and clinic schedule.
- Excellent Communication Skills: Possessing clear, concise, and professional verbal and written communication skills for interacting with patients, clinical staff, and external contacts.
- Organised: Exceptional organisational and administrative skills are required to manage appointments, patient records, incoming calls, and general office duties efficiently.
- Calm Under Pressure: The ability to remain composed, professional, and effective when managing busy periods, multiple interruptions, or challenging patient situations.
- Professional and Poised: Maintaining a high standard of professional presentation and conduct, acting as a confident and competent ambassador for the practice at all times.
· Answer the telephone in the prescribed manner, as outlined by the Practice Manager.
· Welcome all patients arriving at the practice in a warm friendly manner. Assist patients with completing forms.
· Ensure that the appointment system is efficient and accurate. SFD will be taught to you with the support of the Practice Manager.
· Collect and record patient payments as outlined by the practice policy.
· Ensure that patient records are completed correctly before filing and storing them in an efficient, tidy and secure manner. GDPR regulations apply.
· Complete and return relevant forms for NHS and private schemes within a specified timescale.
· Encourage prompt payments and chase outstanding debts according to the practice policy.
· Liaise with dental laboratories, supply companies and other organisations as required by the Practice Manager.
· Send out patient recalls, cancellations and ensure that all appointments have been appropriately scheduled.
· Compile day sheets for the dental team.
· Keep the office, reception area and waiting room clean and tidy .
· Deputise for the practice manager \[*if requested by the Manager// Director*].
· Organise stock supplies and perform general office duties to support the practice’s operations.
· Other duties as necessary for the efficient operation of the practice.
· Undergo training as may be required to develop your skills and abilities.
· Attend refresher and update training for medical emergencies and CPR (organised by the practice).
BASIC QUALIFICATIONS
- Maths \& English proficiency , written and verbal
- IT proficient, with an understanding of Windows
- In house training will be provided
Pay: £12\.71\-£13\.50 per hour
Expected hours: 38\.0 per week
