Document Controller
Position Summary
The Document Controller is responsible for managing, organizing, tracking, and maintaining company and project documentation throughout its lifecycle. The role ensures that documents are accurately recorded, properly distributed, securely stored, and readily accessible to authorised personnel.
The Document Controller will work closely with project teams, management, clients, contractors, consultants, and other stakeholders to ensure document control procedures and standards are consistently followed.
Key Responsibilities
- Maintain and manage the company's document control system and document registers.
- Receive, review, register, distribute, and archive incoming and outgoing documents.
- Ensure documents are correctly identified, named, version\-controlled, and stored.
- Maintain accurate records of document revisions, approvals, submissions, and transmittals.
- Distribute documents to relevant team members and stakeholders in accordance with established procedures.
- Monitor document status and follow up on outstanding reviews, approvals, and submissions.
- Ensure obsolete or superseded documents are appropriately identified and removed from active use.
- Maintain electronic and, where required, hard\-copy filing systems.
- Prepare document transmittals, registers, reports, and document status updates.
- Coordinate the issuance and retrieval of controlled documents.
- Ensure confidential and sensitive information is handled appropriately.
- Support audits by providing accurate and traceable documentation.
- Assist project teams with document management requirements and procedures.
- Ensure compliance with company policies, project requirements, and applicable document control standards.
- Identify gaps or inconsistencies in documentation and escalate issues when necessary.
- Provide administrative support to project and operational teams as required.
- Contribute to the continuous improvement of document control processes and systems.
- Previous experience in document control, records management, project administration, or a similar role.
- Experience working with structured document management systems \- ie Projectwise, Forma System
- Proficiency in Microsoft Office, particularly Word, Excel, Outlook, and SharePoint or similar document management platforms.
- Strong understanding of document numbering, revision control, filing, and document distribution procedures.
- Experience working in a project\-based environment is an advantage.
- Excellent organisational and time\-management skills.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- Ability to manage multiple documents, priorities, and deadlines simultaneously.
- Strong record\-keeping and administrative skills.
- Ability to maintain confidentiality and handle sensitive information.
- Good problem\-solving and follow\-up skills.
- Ability to work independently as well as part of a team.
- Strong computer and data\-management skills.
- Ability to establish and maintain effective working relationships with internal and external stakeholders
