Job Overview
We are seeking a professional and organised Receptionist/Admin Assistant to join our team at one of the friendly aesthetic and wellness medispa . This role involves providing exceptional administrative support, managing front desk operations, and ensuring smooth communication with patients and clients. The successful candidate will be responsible for handling various clerical tasks, maintaining a welcoming environment, and assisting with daily clinic functions. Prior experience and strong social media and computer skills are essential to excel in this position.
Responsibilities
- Greet visitors and clients in a courteous and professional manner
- Answer phone calls promptly, using excellent phone etiquette
- Manage incoming and outgoing correspondence, including emails and postal mail
- Maintain organised records through data entry and filing systems
- Schedule appointments for patients and clients efficiently
- Assist with invoicing, billing, and financial record keeping
- Prepare documents, reports, and presentations using Microsoft Office and Google Workspace tools
- Support office supplies management by monitoring stock levels and placing orders as needed
- Ensure the reception area and clinic in general remains tidy and welcoming at all times
- Proven saloon/ medispa/ experience with strong organisational skills
- Strong communication skills with professional phone etiquette
- Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive)
- Demonstrated clerical experience supporting busy office environments
- Ability to prioritise tasks effectively and manage time efficiently
