We are looking for a Project Officer (Workplace Operations)

CONTEXT

In this role, you will join a Workplace \& Facility Management team responsible for coordinating and improving the workplace experience.

You will contribute to the coordination of workplace operations, themed events, external service providers, office space management, occupancy analysis, stakeholder committees, and transversal workplace initiatives.

MAIN MISSION

To coordinate and support workplace and facility management activities, ensuring the effective operation of shared spaces, events, services, and workplace initiatives while promoting efficient use of office environments and strong collaboration with internal and external stakeholders.

MAIN RESPONSIBILITIES

  • Coordinate and activate the company's premises in Porto and Lisbon, including wellness, social, and shared workplace areas.

  • Plan and execute themed events, defining timelines, responsibilities, KPIs, and required resources.

  • Coordinate with internal stakeholders and external service providers to ensure the effective delivery of workplace activities.

  • Manage contracts with external service providers, including F\&B, scenting, sports, and merchandising providers.

  • Monitor service\-level agreements (SLAs) and ensure that contracted services meet agreed requirements.

  • Manage the workplace boutique and welcome bar, ensuring their day\-to\-day operation and coordination.

  • Define and continuously update the building zoning model according to team structures, functional needs, and workplace synergies.

  • Analyse office occupancy dashboards and prepare structured reports on space utilisation.

  • Facilitate regular committees and meetings with internal stakeholders, ensuring alignment and follow\-up on agreed actions.

  • Monitor transversal workplace initiatives and support their implementation across the organisation.

  • Coordinate multiple workplace and facility management activities simultaneously, ensuring timelines, responsibilities, and deliverables are clearly managed.

  • Track relevant KPIs and operational indicators to assess the effectiveness and utilisation of workplace initiatives.

  • Identify opportunities to improve workplace operations, space utilisation, employee experience, and service delivery.

  • Collaborate closely with internal teams, external suppliers, and other stakeholders to ensure effective workplace management.
PROFILE \& SKILLS
  • 3 to 5 years of professional experience coordinating multi\-functional projects, workplace operations, facility management, or a related area.

  • Experience coordinating multiple stakeholders and activities simultaneously.

  • Strong analytical skills, with the ability to interpret occupancy and utilisation data and translate it into structured reports.

  • Ability to plan and coordinate projects, events, and operational initiatives from planning through execution.

  • Strong organisational and time\-management skills.

  • Ability to manage external service providers and monitor service\-level agreements.

  • Good stakeholder\-management and communication skills.

  • Ability to work across different teams and coordinate transversal initiatives.

  • Familiarity with project management tools.

  • Ability to work with autonomy while maintaining a structured and organised approach.

  • Professional proficiency in English, both written and spoken.
