Job Title: Practice Support Coordinator

Reports to: Co\-Practice Managers

Hours of Work 37 hours over 4 days / 27 hours over 3 days.

Salary Dependant on experience

Job Description

The successful applicant will work closely with the Co\-Practice Managers and the QOF administrator, providing administrative support. The applicant must be able to work under pressure and manage their own workload effectively using their own initiative.

JOB SUMMARY

  • General administrative duties, data entry, word processing, summarising, scanning, processing and recording information as per practice standard operating procedures.

  • Updating and maintaining practice policies and procedures.

  • Organising, attending and minuting meetings as appropriate.

  • Replying to emails and post where appropriate.

  • Dealing with enquiries where appropriate.

  • Run clinical searches/audits and work closely with the QOF administrator to aid the practice in achieving QOF.

  • Working jointly with the QOF Administrator to help achieve relevant PCN initiatives.

  • Organising and maintaining office systems

  • Manage rotas and absences for a select group of staff in the Co\-Managers’ absence.

  • Provide general assistance to the Co\-Practice Managers and QOF administrator and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

  • Any other duties and responsibilities appropriate to the role.
This is new and exciting opportunity and therefore the role and responsibilities will evolve over time.

Individuals are expected to keep confidential, information relating to patients, carers, colleagues, other healthcare workers. The business of the practice may only be divulged to authorised persons in accordance with the practice policies and standard operating procedures relating to confidentiality and the protection of personal and sensitive data.

  • Assist in promoting and maintaining their own and others’ health, safety and security as defined by the Practice Health \& Safety Policy.

  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards

  • Reporting potential risks identified

  • Work effectively with individuals in other agencies to meet practice needs

  • Effectively manage own time, workload and resources
COMMUNICATION
  • Ensure interdepartmental co\-operation and management to ensure smooth running of the practice

  • Communicate effectively with other team members

  • Communicate effectively with patients and carers

  • Recognise people’s needs for alternative methods of communication and respond accordingly
OTHER
  • Opening premises and checking heating and ventilation

  • Making drinks for the doctors and staff

  • Any other tasks allocated by managers
