Reports to: Operations Manager \& General Manager

Location: Prospect Coaches, Lye

Hours: Full\-time 0630\-1630 Operational support maybe required outside of these hours.

Job Purpose

The Operation’s Coordinator will support the day to day and forward planning of the Lye coach operation, ensuring work is appropriately resourced with suitable drivers and vehicles and that operational issues are identified and addressed at the earliest opportunity.

The role will have responsibility for coordinating planned work, monitoring daily service delivery, supporting school and college operations, maintaining accurate operational information and providing a first point of operational support for drivers, customers and colleagues.

Key Responsibilities

Scheduling

  • Assist with the forward planning of weekly and future coach operations.

  • Review upcoming work and identify potential operational issues before they arise.

  • Ensure sufficient drivers and appropriate vehicles are allocated to planned work.

  • Communicate changes and operational requirements to relevant members of the team.

  • Ensure schedules are accurate, practical and clearly communicated.

  • Monitor daily operations and make amendments where required.

  • Assist with covering driver or vehicle changes at short notice.

  • Ensure all operational movements are recorded and updated accurately.
Bookings Liaison
  • Liaise with admin team regarding future bookings, additional work

  • Communicate booking changes to the relevant operational staff.

  • Ensure booking information is accurate and complete before work is scheduled.

  • Provide operational supervision during designated college services.

  • Deal promptly with any operational issues or concerns.

  • Maintain a visible presence and provide support to drivers and college staff where required.

  • Support the smooth running of morning operations, ensuring drivers are booking on at the correct time.

  • Monitor driver departures and ensure services are leaving as scheduled.

  • Communicate delays, vehicle issues or driver problems to the appropriate person.

  • Ensure the Operations Team has an accurate overview of the morning’s movements.

  • Carry out regular gate checks on vehicles and drivers.

  • Check vehicles are ready for service and presented to the required standard.

  • Report any vehicle or driver concerns to the relevant manager.

  • Carry out driver uniform checks, ensuring drivers meet the company’s standards of presentation.

  • Ensuring any outstanding operational issues are properly handed over, particularly uncovered work, vehicle issues, delays or anything that could affect later services or the following day's operation.
General Duties
  • Communicate effectively with drivers, customers, schools, colleges and colleagues.

  • Deal with operational problems calmly and professionally, escalate when necessary.

  • Maintain confidentiality and comply with company policies and procedures.

  • Promote a professional image of the company at all times.

  • Carry out any other reasonable duties required by the Management Team.

  • Cover college/school routes when required.

  • Manage and monitor a high\-volume inbox throughout the working day, keep the inbox organised and ensure enquiries are not missed.

  • Respond to or allocate enquiries promptly.

Person Specification

Essential

A good understanding of drivers' hours, working time and the relevant legal and compliance requirements.

· PCV Licence, you will need to drive when required to support the operation.

  • Excellent organisational and time\-management skills.

  • Strong attention to detail.

  • Ability to prioritise and manage multiple tasks.

  • Confident communicating with drivers, customers and colleagues.

  • Ability to remain calm and professional under pressure.

  • Good IT and administrative skills.

  • Ability to work independently and use initiative.

  • Flexible approach to changing operational requirements.

  • Reliable and punctual.

  • Enhanced DBS
Desirable
  • Previous experience within the coach, transport, travel or logistics industry.

  • Experience of scheduling drivers or vehicles.

  • Previous experience in an operations or transport administration role.
Pay: £32,500\.00\-£37,500\.00 per year
