Lead Treatment Coordinator / Assistant Practice Manager

Re\-Ignite Dental – Hale, Greater Manchester
£35,000 base salary \+ high, uncapped commission

The opportunity

Re\-Ignite Dental is seeking an experienced and commercially driven Lead Treatment Coordinator / Assistant Practice Manager to take ownership of our patient journey while supporting the Practice Manager with the effective day\-to\-day running of the practice.

Your primary focus will be treatment coordination and patient acquisition—from the first enquiry through to consultation, treatment acceptance, deposit collection and booking.

Alongside this, you will help lead our treatment coordination systems, support other team members and assist the Practice Manager with operational, recruitment and performance\-management responsibilities.

This is a hands\-on role for someone who can deliver excellent results personally while gradually taking on greater leadership and management responsibility.

Re\-Ignite Dental is an ambitious, independently owned private dental practice based in Hale, Greater Manchester.

We provide cosmetic, implant and advanced restorative dentistry, including clear aligners, composite bonding, porcelain veneers, dental implants and full\-mouth rehabilitation.

As the practice continues to grow, we are looking for someone who combines exceptional patient communication, strong commercial awareness, excellent organisation and emerging management ability.

Treatment coordination responsibilities

You will take ownership of the patient journey from initial enquiry to confirmed treatment, including:

  • Responding promptly and professionally to new patient enquiries

  • Building trust with patients through telephone, video, email and messaging

  • Understanding each patient’s goals, concerns and barriers to treatment

  • Conducting structured treatment coordination consultations

  • Explaining treatment journeys, fees and finance options clearly

  • Following up every suitable patient consistently and professionally

  • Converting enquiries into consultations and consultations into treatment

  • Collecting deposits and securing treatment bookings

  • Re\-engaging previous enquiries and unfinished treatment opportunities

  • Coordinating appointments and treatment journeys with clinicians and the wider team

  • Maintaining complete and accurate CRM and patient records

  • Ensuring patients receive a consistent, high\-quality experience

  • Monitoring lead quality and providing feedback to our marketing partners

  • Tracking response times, contact rates, bookings, attendance, treatment acceptance and collected revenue

  • Identifying weaknesses within the patient journey and helping implement improvements
Clinical advice, diagnosis, treatment recommendations and consent will always remain the responsibility of the treating clinician.

Your role is to help patients understand their treatment journey, answer non\-clinical questions and confidently take the next step when treatment is appropriate for them.

Lead Treatment Coordinator responsibilities

As the lead coordinator, you will also:

  • Help maintain consistent consultation and follow\-up standards

  • Support and coach other team members involved in patient enquiries

  • Review calls, messages and follow\-up activity

  • Ensure every lead has clear ownership and a documented next action

  • Help develop scripts, workflows and patient communication templates

  • Monitor individual and team performance against agreed KPIs

  • Identify training needs and support ongoing team development

  • Lead by example through your own communication, organisation and results

  • Help recruit, onboard and train future treatment coordinators as the practice grows
Assistant Practice Manager responsibilities

You will work closely with the Practice Manager and Principal Dentist to support the smooth running of the practice.

This may include:

  • Supporting the Practice Manager with daily operational priorities

  • Helping coordinate team rotas, diary capacity and clinic workflows

  • Assisting with team meetings, action plans and performance tracking

  • Supporting the recruitment and onboarding of new team members

  • Helping maintain high standards across reception and the patient journey

  • Monitoring completion of delegated tasks and practice systems

  • Supporting the implementation of new policies, workflows and technology

  • Helping resolve patient queries and service concerns professionally

  • Providing management cover when required

  • Escalating clinical, compliance or employment matters appropriately

  • Contributing ideas that improve efficiency, patient experience and commercial performance
The Practice Manager will retain overall responsibility for practice management. This role is designed to provide dependable support while developing your own leadership and management capability.

Who we are looking for

You may currently be a:

  • Senior or Lead Dental Treatment Coordinator

  • Assistant Practice Manager

  • Dental Practice Manager who enjoys treatment coordination

  • Patient Experience Manager

  • Private healthcare sales or patient liaison professional
You should have:
  • Experience in dental treatment coordination, private healthcare or high\-value consultative sales

  • A proven ability to convert enquiries into appointments or treatment

  • Excellent telephone, video and written communication skills

  • Confidence discussing higher\-value treatment and finance options

  • A warm, reassuring and patient\-centred communication style

  • Strong commercial awareness without using pressure\-based sales tactics

  • Excellent organisation and disciplined follow\-up

  • Confidence working with CRMs, reports and performance data

  • The ability to work independently and take ownership

  • Experience supporting or supervising other team members

  • The confidence to assist with operational and management responsibilities

  • High personal accountability and a genuine desire to develop
Experience with Dentally, Boxly or similar dental systems would be beneficial but is not essential.

Previous dental experience is strongly preferred.
