Terapia is one of the leading Child and Adolescent Psychotherapy and Counselling training organisations in the UK. We are also a registered charity providing highly specialised counselling, psychotherapy and bespoke mental health services for children, young people, parents/carers, families, and professionals working with these groups.
The Front of House Manager is the first point of contact for visitors, trainees, and staff at Terapia, ensuring the efficient day\-to\-day operation of our premises located at The Bothy, 17A East End Road, Finchley, and helping to maintain a professional and welcoming space.
The post\-holder requires excellent interpersonal and communication skills and the ability to work well and manage others.
Main Responsibilities
- Providing a welcoming and professional reception for visitors, staff, and trainees. through excellent customer service and presentation. Monitoring visitor entry/exit including signing in/ out and ensuring safeguarding procedures are followed. Ensuring the reception area is kept tidy and accessibility and safety considerations are in place. Escalating urgent queries (eg safeguarding, building issues) to the appropriate manager.
- Ensuring the main reception and phoneline are adequately staffed at all times. Managing a small team of part\-time receptionists so that all shifts are covered, taking into account annual leave, time off in lieu etc to provide a consistent and professional service.
- Managing enquiries by phone, email, and in person, ensuring these are dealt with promptly and accurately, signposting appropriately and maintaining confidentiality with appropriate follow\-up procedures.
- Room booking coordination: Maintaining the schedule of room bookings for training, clinical services and meetings and overseeing the processing of room booking payments. Supporting room bookings with room set up and preparations (using screens, opening dividing walls, arranging seating etc). Leading on the support for external events, liaising with bookers, organising refreshments etc
- Oversight of contracted cleaning services (cleaner, refuse collections) to ensure agreed standards/tasks are consistently met while maintaining good relationships. Supporting the Facilities Manager as required, eg on external contractor visits, producing security passes.
- Daily routine tasks: emptying dishwashers and stocking cupboards, organising orders of refreshments, cleaning products, stationery etc. Checking and maintaining Therapy rooms: ensuring these are kept tidy and are stocked with materials required; post\-handling, watering plants, library duties including keeping a log of library books, cataloguing new books and maintaining an organised and tidy space.
- Any other reasonable duties as directed by the CEO/Director of Training.
Essential experience/qualities
- Experience in a reception, or office coordination role. Strong communication and interpersonal skills with a professional and welcoming manner.
- Confidence to lead and manage a small team and handle sensitive issues.
- Confident using Microsoft Office (Word, Excel, Outlook).
- Strong organisational skills and ability to multitask effectively while staying calm under pressure.
- Diligent, reliable, and proactive with a can\-do attitude.
- Flexibility to work some evenings and Saturdays
- Comfortable handling basic manual tasks (e.g. moving boxes, minor repairs).
- Experience working in a therapeutic, educational, or healthcare environment.
- Fire Warden and/or First Aid training (or willingness to train).
- Friendly, approachable, and professional presence.
