Location: iFire UK Limited, 15 Stenhouse Mill Crescent, Edinburgh, EH11 3LP Employment type: Full\-time, permanent Working hours: Monday–Thursday, 8:00am–5:00pm; Friday, 8:00am–2:30pm
About the Role
iFire UK Limited is looking for an organised and dependable Administrative Assistant to join our Edinburgh office. This is a varied, fast\-paced position supporting the day\-to\-day operation of our fire and security business.
You will work closely with our office team, engineers and management to ensure jobs are properly scheduled, paperwork is processed accurately and customers receive a professional and helpful service.
Key Responsibilities
\- Answering incoming telephone calls and responding to customer enquiries
\- Monitoring and processing incoming emails Arranging engineers’ diaries and scheduling service calls, maintenance visits and installation works
\- Liaising with customers and engineers regarding appointments and job updates
\- Processing job paperwork, service reports, certificates and other documentation
\- Maintaining accurate customer and site records
\- Assisting with the preparation of information and documentation for internal and external audits
\- Supporting the office and management teams with general administrative duties
\- Following up on outstanding paperwork and ensuring records are completed on time
\- Helping maintain an organised, efficient and professional office environment
About You
The ideal candidate will be:
\- Organised, reliable and able to manage multiple tasks
\- Confident communicating with customers by telephone and email
\- Comfortable working in a busy office environment
\- Accurate and attentive when processing paperwork and updating records
\- Able to prioritise work and adapt when engineers’ schedules change
\- Confident using computers, email and Microsoft Office applications
\- Able to work both independently and as part of a team
\- Previous administrative or customer\-service experience would be beneficial.
\- Experience within the fire and security, facilities\-management, construction or engineering sectors would be helpful but is not essential, as training will be provided.
