Finance & Office Manager
Holyrood PR is an ambitious, award\-winning communications agency working with organisations across Scotland and the UK. As the business continues to evolve and grow, we are looking for a highly organised, proactive Finance \& Office Manager to play a central role in the smooth running of the agency.
We are looking for someone who enjoys bringing structure, visibility and improvement to a growing business. Someone who takes ownership, spots problems early, keeps financial and operational processes running smoothly, and supports senior leadership with the information they need to make informed decisions. You’ll be comfortable working across finance, reporting, systems, suppliers and day\-to\-day operational management, becoming a trusted part of the agency’s leadership support structure.
The role is ideally suited to someone looking for meaningful part\-time work with genuine responsibility and variety.
The Role
This role combines day\-to\-day finance operations, reporting support and operational oversight across the business. You will work closely with the senior leadership team and become a trusted part of the agency’s day\-to\-day operations.
While the role includes office and operational management responsibilities, there is a strong emphasis on finance administration, reporting, organisation and continuous improvement. Working alongside our external accountants and bookkeeping support service, you will take ownership of the day\-to\-day financial administration that keeps the agency running smoothly.
This is more than a traditional office administration role. For the right person, it is an opportunity to become a trusted operational partner to the senior leadership team, helping shape systems, improve processes and provide the information that supports effective decision\-making across the business.
Key Responsibilities
Finance \& Bookkeeping
- Manage day\-to\-day finance administration and bookkeeping processes
- Prepare and issue client invoices accurately and on time using information provided by project teams and senior management
- Monitor incoming payments and confidently follow up overdue invoices
- Support credit control activity and help reduce outstanding debt
- Manage staff expenses and support supplier payment processes
- Investigate and resolve invoicing, payment and reconciliation queries
- Reconcile accounts and maintain accurate financial records in Xero
- Support monthly reporting, cashflow visibility and financial tracking
- Assist with payroll administration, pensions and finance processes
- Work closely with external accountants and bookkeeping support providers
- Help maintain efficient, reliable and scalable finance systems and processes
- Produce clear internal reports, spreadsheets and trackers to support decision\-making
- Maintain accurate operational and financial records
- Support senior leadership with reporting visibility and business organisation
- Monitor and process staff timesheet information, supporting utilisation and performance reporting
- Prepare regular reports, dashboards and management information for the senior leadership team
- Identify inefficiencies, gaps or recurring issues and help improve processes
- Contribute to the smooth running and continual improvement of the agency
- Oversee the day\-to\-day running of the office environment
- Manage supplier relationships, renewals, contracts and service agreements, ensuring continuity of service and value for money
- Monitor key operational systems, subscriptions and agency processes
- Liaise with IT support and external providers when needed
- Support onboarding and general team administration
- Help maintain a professional, organised and welcoming working environment
We’re looking for someone who enjoys having visibility across a business. You’ll take pride in being organised, dependable and proactive, bringing structure to busy environments and ensuring nothing falls through the cracks. You’ll be comfortable working with numbers, systems, suppliers and people, and you’ll enjoy helping a growing business operate more efficiently.
We are looking for someone who is:
- Highly organised, reliable and detail\-focused
- Experienced in bookkeeping and finance administration
- Comfortable managing invoices, reconciliations, payment tracking and reporting
- Proactive and solutions\-focused, with the confidence to identify and resolve issues
- Strong practical experience using Xero. We would also welcome candidates with significant experience using Sage, QuickBooks or similar finance platforms and the confidence to transfer those skills quickly into a Xero\-based environment
- A strong communicator who is comfortable working closely with senior leadership
- Confident using Excel for reporting, tables, trackers and presenting information clearly
- Comfortable producing reports and analysing operational and financial information
- Confident managing supplier relationships, contracts and administrative processes
- Trustworthy and discreet when handling confidential business and financial information
- Calm, adaptable and capable of managing competing priorities
- Interested in helping improve how a growing business operates
21 hours, equivalent to three days per week
We are reasonably flexible on working pattern, although we would prefer the successful candidate to work on a Monday. Possible patterns could include:
- Monday / Wednesday / Thursday
- Monday / Wednesday / Friday
- Monday / Tuesday / Friday
- Monday / Tuesday / Wednesday / Thursday
