Job Summary 

The Field \& Business Support Coordinator provides administrative and operational support across M·E·L Research, with primary responsibility for supporting the effective delivery of Field Operations while also providing substantial business support and administration across the organisation.

The role combines fieldwork administration, interviewer support, bidding and enquiry coordination, ERP administration, HR administration and support, quality and compliance administration, and wider business coordination activities.

Key responsibilities

Field Team support and administration (approximately 50%)

Fieldwork preparation and administration 

  • Support the administration and delivery of face\-to\-face (CAPI), telephone (CATI) and other fieldwork projects as required.

  • Prepare, print and assemble fieldwork packs, questionnaires, showcards, authorisation letters, interviewer instructions and other supporting materials, ensuring the latest approved versions are used.

  • Coordinate the distribution and return of fieldwork packs and associated materials, maintaining appropriate records of items issued and returned.

  • Prepare fieldwork collateral including interviewer ID cards, authorisation materials, high\-visibility clothing and CAPI tablet devices.

  • Support project setup activities and maintain accurate fieldwork and project documentation.

  • Assist with interviewer allocations and routine Forsta administration.

  • Receive and process returned equipment, documentation and other fieldwork materials.

  • Ensure operational issues reported by interviewers, supervisors or colleagues are recorded and escalated promptly to the appropriate manager.

  • Maintain effective communication between the Field Team and other areas of the business to support project delivery.
Interviewer administration 
  • Coordinate with the Field Team Manager, Telephone Unit Manager and Finance Team on routine administration relating to interviewer records, payroll information and payments to self\-employed interviewers.

  • Maintain accurate interviewer and fieldwork records in accordance with company procedures.
Equipment and asset management 
  • Maintain and update the CAPI tablet inventory and associated records.

  • Monitor tablet allocations, activations, returns and outstanding equipment.

  • Maintain and update the MRS interviewer ID card database.

  • Monitor the allocation and return of high\-visibility clothing and other fieldwork equipment.

  • Monitor stock levels of fieldwork materials, stationery and other operational supplies, arranging replenishment where required.

  • Help ensure fieldwork equipment and materials are available when required for project delivery.
Digital \& process improvement 
  • Identify opportunities to improve and streamline fieldwork, administrative and business support processes.

  • Work with the Field Team Manager and other colleagues to implement agreed process improvements and more efficient ways of working.

  • Support the adoption and effective use of new systems, technology and digital tools designed to improve the efficiency, consistency and quality of Field Operations and wider business administration.

  • Make appropriate use of approved AI and automation tools to support routine administrative activities, such as document preparation, information summarisation, reporting, tender administration and record checking.

  • Help identify repetitive or manual administrative activities that could be simplified, standardised or automated.

  • Support the development and maintenance of standard templates, checklists, trackers and administrative workflows.

  • Ensure outputs produced using digital or AI\-enabled tools are appropriately checked for accuracy and handled in accordance with company policies, data protection requirements and information security procedures.

  • Share ideas and feedback on systems and processes with relevant colleagues to support continuous improvement across the business.
Business support and administration (approximately 50%)

Enquiries, bidding and ERP Administration

  • Manage company enquiries and coordinate responses.

  • Process and coordinate bidding opportunities and tender submissions.

  • Monitor clarification questions and tender communications.

  • Support completion of PQQs and administrative submission requirements.

  • Maintain contacts, client accounts, projects and opportunities within the ERP system.

  • Produce reports, trackers and management information as required.

  • Maintain company records, business information and filing systems.
Business administration and coordination
  • Provide business\-wide administrative support.

  • Coordinate meetings, training sessions and company events.

  • Prepare reports, presentations and business documentation.

  • Support travel and logistical arrangements where required.

  • Liaise with suppliers, contractors and service providers.

  • Maintain business templates, procedures and shared resources.

  • Provide flexible cross\-business support in response to organisational priorities.
HR administration and support
  • Support recruitment activities, including application management and interview coordination.

  • Assist with onboarding and induction administration.

  • Maintain HR records and confidential employee documentation.

  • Support staff training, learning and development administration.

  • Assist with employee engagement and wellbeing activities.

  • Provide routine HR administrative support across the business.
Quality, compliance and governance support
  • Support the administration of quality management and compliance procedures.

  • Coordinate compliance activities within the ERP system.

  • Support preparation for internal and external audits.

  • Maintain quality and compliance records and documentation.

  • Support compliance with ISO, IQCS, health and safety and data protection requirements.

  • Assist in maintaining policies, procedures and governance documentation.

  • Support continuous improvement activities and corrective action tracking.
Digital systems and continuous improvement
  • Assist in maintaining administrative processes, workflows, trackers and reporting tools.

  • Identify opportunities to improve efficiency through standardisation, automation and the appropriate use of digital tools.

  • Support colleagues in adopting new administrative systems and processes.

  • Produce accurate reports and data extracts from business systems when required.

  • Ensure information held within business systems is accurate, complete and maintained in accordance with company procedures.
General duties
  • Undertake any other duties reasonably required by the company and commensurate with the nature and level of the role.

  • Contribute positively to the continuous improvement of business and operational processes.

  • Work in accordance with company policies, values, quality standards and procedures

This role offers opportunities to develop expertise across field operations, business support, quality and compliance activities. As experience develops, there may be opportunities to progress into senior operational, field management, project support or business support leadership roles within M·E·L Research.

  • Experience supporting a remote or distributed workforce.

  • Tender, bid or procurement administration experience.

  • HR or recruitment administration experience.

  • Quality, compliance or audit administration experience.

  • Experience managing equipment inventories or operational assets.

  • Experience of ERP or CRM systems
