Executive Assistant \& Clinic Coordinator Enhance Clinic, Ashbourne, Co. Meath

Position: Executive Assistant \& Clinic Coordinator

Hours: 20 hours per week Location: Hybrid (Remote with weekly in\-clinic attendance)

Salary: €22–25 per hour depending on experience (€22,880–€26,000 pro rata)

Reports to: Clinic Director

About Enhance Clinic Enhance Clinic is a doctor\-led aesthetic medical clinic dedicated to delivering safe, evidence\-based treatments with exceptional patient care. As our clinic continues to grow, we are seeking an organised, proactive and highly professional Executive Assistant \& Clinic Coordinator to support the Clinic Director and help streamline daily operations. This role offers the opportunity to become an integral part of a growing business, with potential progression to Senior Clinic Coordinator or Clinic Manager. Purpose of the Role To provide executive, administrative and operational support to the Clinic Director while ensuring an exceptional patient experience and smooth day\-to\-day running of the clinic. The successful candidate will take ownership of patient communications, diary management, clinic administration, stock coordination, marketing support and operational processes, allowing the Clinic Director to focus on patient care and business growth.

Key Responsibilities

Patient Communication \& Client Experience:

Manage incoming patient enquiries via email, WhatsApp and clinic systems

Respond to non\-clinical patient queries professionally and efficiently

Escalate clinical questions appropriately to the Clinic Director

Coordinate appointment bookings, changes and cancellations

Manage waiting lists and follow\-up communications

Support patient retention and rebooking initiatives

Prepare and send treatment information and appointment reminders

Executive Assistant Support:

Manage and coordinate the Clinic Director's diary and appointments

Organise meetings, educational events and professional commitments

Assist with travel bookings and conference arrangements

Prepare reports, documents and presentations as required

Coordinate projects and deadlines Support administrative requirements for professional organisations and educational activities

Clinic Operations \& Administration Maintain organised digital and paper filing systems

Monitor clinic processes and identify opportunities for improved efficiency

Assist with monthly reporting and clinic performance tracking Manage clinic supplies and consumables

Conduct regular stock checks and inventory management Place stock orders proactively and liaise with suppliers

Coordinate product deliveries and clinic supplies Marketing \& Patient Engagement

Weekly In\-Clinic Support Attendance in clinic one afternoon per week (currently Wednesdays).

Responsibilities include: Stock checks and inventory review Product preparation and organisation Operational planning meeting with Clinic Director Administrative support and clinic organisation Essential Requirements Previous experience in administration, client services, office coordination or executive support Excellent written and verbal communication skills Strong organisational and multitasking abilities High level of professionalism and discretion Excellent attention to detail Proficiency in Microsoft Office and digital systems Ability to work independently and take initiative Strong customer service skills Desirable Requirements Experience in healthcare, aesthetics, beauty or wellness sectors Social media and marketing administration experience Experience using booking systems or CRM software Inventory or stock management experience Canva experience Personal Attributes The successful candidate will be: Friendly, professional and approachable Highly organised and dependable Proactive and solution\-focused Calm under pressure Able to prioritise effectively Eager to learn and develop professionally Comfortable working independently Salary \& Benefits €22–25 per hour depending on experience Flexible working arrangements Hybrid working model Ongoing training and development Opportunity for career progression to Clinic Manager Supportive and professional working environment Application Process Please submit: Current CV Brief cover letter outlining relevant experience and interest in the role Shortlisted candidates will be invited for interview.
