Managing operations in a new care agency is fast\-paced and demands a high workload. You will be responsible for balancing multiple priorities and keeping the office running smoothly.
Key responsibilities include:
- Client Acquisition \& Relationship Management: Act as the first point of contact for new enquiries and referrals from clients, families, professionals and partner organisations. Work closely with the Registered Manager to respond promptly to enquiries, coordinate timely initial assessments and identify opportunities to provide support. Represent PYCA professionally and positively while proactively developing and expanding local referral networks with GPs, social services, community groups and other referral partners.
- Inspiring Leadership: Provide direct line management to Care Coordinators and Administrators. Lead daily operational handovers, conduct regular 1\-2\-1s and set performance objectives to support your team to succeed. Ensure staff consistently meet PYCA’s standards, values and ethos, while promoting professional development and maintaining a positive, inclusive and supportive working culture.
- Operational Control: Oversee and approve the master rota prepared by Care Coordinators, resolving complex scheduling issues and ensuring safe, consistent and continuous support for clients. Respond promptly to staffing issues, emergencies and service disruptions, ensuring appropriate action is taken. Maintain oversight of operational documentation and liaise with the Registered Manager regarding staffing capacity, service delivery and wider operational concerns.
- Training Compliance \& HR Monitoring: Monitor staff compliance records, including DBS renewals, right to work documentation, driving documentation and staff change forms, ensuring records remain accurate and up to date. Liaise closely with the Training \& Quality Officer to coordinate training and induction for new and existing staff, ensuring relevant staffing changes are communicated promptly. Arrange external training with approved providers as required.
- Growth \& Recruitment: Support the Registered Manager with candidate selection and interviewing, and coordinate the compliance and onboarding process for new Home Support Workers. Contribute to the development of PYCA’s workforce and support recruitment activity to ensure staffing capacity keeps pace with the growth of the service.
We are looking for a resilient professional who doesn't shy away from a heavy workload and can remain calm and focused when things get chaotic.
Essential Requirements:
- Proven experience in a management, supervisory, coordination, or operations role within a health or social care environment.
- Natural leadership capabilities with the ability to motivate and manage a small team.
- Outstanding organisation skills and the ability to handle high\-volume administrative tasks under pressure.
- Excellent verbal and written communication skills.
- A solid understanding knowledge of the Care Quality Commission (CQC) fundamental standards.
- A full UK driving licence (as this requires some community\-facing work).
- A valid Emergency First Aid at Work (EFAW) certificate and an Enhanced DBS check (or a willingness to obtain both swiftly).
- A warm, compassionate nature that aligns with our relationship\-led values.
- Understanding of loneliness, isolation and emotional wellbeing.
- Knowledge of adult safeguarding frameworks and UK GDPR.
