Claims Operations Team Leader
About the Role
We are seeking an experienced, organised and motivated Claims Operations Team Leader to join our claims department and provide day\-to\-day leadership and support within the Claims Operations function.
The successful candidate will be responsible for overseeing and supporting the activities of the claims team, ensuring that work is completed accurately, efficiently and within required deadlines. The role will involve a combination of team leadership, client account management, claims administration, system management and operational support.
Working closely with the Claims Operations Manager, the Team Leader will play an important role in maintaining high standards of service, data integrity and operational performance.
The primary objective of the Claims Operations Team Leader is to support the Claims Director in the effective running of the department, provide leadership to the team, ensure clients claims are managed accurately and efficiently, and maintain high standards of service, data integrity and operational performance.
Key Responsibilities
The successful candidate's duties will include, but will not be limited to:
· Team Leadership \& Management
· Provide day\-to\-day guidance, support and direction to members of the Claims Operations team.
· Allocate and monitor workloads to ensure tasks and claims are completed within agreed deadlines.
· Monitor team performance, productivity, accuracy and adherence to company procedures.
· Support team members with queries, complex claims and operational issues.
· Identify training and development requirements within the team and assist with ongoing coaching and knowledge sharing.
· Act as an escalation point for team members in relation to client, claims and system queries.
· Assist the Claims Operations Manager with the implementation and monitoring of processes and procedures.
· Promote a positive, collaborative and professional working environment.
· Assist with onboarding and training of new team members.
· Claims \& Client Account Management
· Oversee and support the management of client accounts, ensuring accurate and timely updates through the company's in\-house systems.
· Assist the Claims Department with Cross Border and Domestic VAT Claims, including preparing and submitting claims in line with applicable EU VAT regulations.
· Follow up with EU VAT Offices regarding outstanding claims and queries.
· Liaise with clients regarding document requests, claim queries and outstanding information.
· Monitor and manage GTR claim portals and ensure claims are progressed appropriately.
· Monitor GTR general emails and calls relating to claim management and ensure queries are dealt with or appropriately allocated.
· Ensure accurate recording of client communications, actions, follow\-ups and key notes.
· Maintain a high level of data integrity across client accounts and internal systems.
· Monitor CMS systems and ensure required updates and follow\-ups are completed.
· Assist with identifying opportunities to improve systems, processes and efficiency.
· Provide general administrative and operational support to the Claims Operations Manager.
· Assist with ad hoc projects and operational initiatives as required.
· Prepare reports, spreadsheets and other information as requested by management.
· Ensure company procedures and quality standards are consistently followed.
Previous Experience:
The successful candidate must have:
· Previous experience in office administration, claims administration, account management or a similar operational environment.
· Previous experience of supervising, mentoring or leading colleagues i
· Excellent IT skills, including Microsoft Excel, Microsoft Word and CMS/in\-house systems.
· Strong organisational and time\-management skills, with the ability to prioritise competing workloads.
· Excellent interpersonal and communication skills, both written and verbal.
· Strong attention to detail and a high level of accuracy.
· The ability to analyse information, identify issues and take appropriate action.
· The ability to work independently while also supporting and motivating a team.
· A professional and customer\-focused approach.
· The ability to work effectively under pressure and meet deadlines.
· A willingness to learn and develop knowledge of VAT claims and related processes.
Desirable Experience
· Document management.
· Management of VAT data, including directory files and internal systems.
· Client account management, including tasks, emails, key notes and follow\-ups.
· Management of CMS systems, including updates and follow\-ups.
· Cross\-border or domestic VAT claims.
· Working with government, tax or VAT offices.
· Managing online claim portals.
· Working with international or overseas support teams.
· Experience working within a claims, tax, finance or compliance environment.

What We Offer
· Salary of €39,000 – €41,000 per annum.
