Summary

We are seeking an Accounts \& Office Administrator. The successful candidate will be responsible for day‑to‑day bookkeeping, customer service, and general office administration. This is a varied role that would suit someone who enjoys being involved across the business.

Duties / Responsibilities

Ac*counts / Bookkeeping*

  • Raise and issue customer invoices \& credit notes in Xero.

  • Register purchase invoices

  • Pay supplier invoices: Weekly, identify suppliers due for payment, make payments, and record them in Xero.

  • Bank reconciliation: Daily reconciliation of all bank transactions imported into Xero.

  • Balance sheet reconciliations

  • Payroll: Preparation for outsourced payroll provider (monthly

  • Accruals and prepayments

  • Fixed asset depreciation

  • Quarterly VAT submissions
Ac*counts / Bookkeeping*
  • Customer ordering: Receive customer orders and changes to standing orders, updating systems accordingly.

  • Customer outreach: Proactively contact customers by phone or email to confirm orders and ensure production has accurate information.

  • Supplier orders: Place supplier orders via email or online portals within supplier deadlines.

  • Monthly stock take: Complete monthly stock counts for designated products and update Xero.

  • Daily stock checks: Ensure daily manual stock checks are completed and filed.

  • Customer feedback: Regularly contact customers to gather feedback on product quality, service, and potential new product opportunities.

  • General administration: Complete daily tasks assigned by the Operations Manager.
Skills / Experience

The successful candidate will be:

  • Upbeat, positive, organised, proactive, and customer‑focused.

  • Experienced in bookkeeping, ideally AAT qualified or part\-qualified.

  • Confident using Microsoft Excel, Word and general office applications.

  • Comfortable working with IT systems. Proper Tasty is currently implementing an MRP system, NotaZone.

  • Personable and able to build strong relationships with colleagues, customers, and suppliers. The role involves interaction with over 30 staff across production, driving, picking, packing, and wrapping.
Role Details
  • Location: Office‑based in Northallerton

  • Hours: 5 weekdays, 7\.5 hrs per day, flexible 8am to 5pm

  • Reporting to: Operations Manager

  • Salary: £25,000 \- £28,000
Pay: £25,000\.00\-£28,000\.00 per year
