Job Title: Unit Administrator and Receptionist\-2 Part\-Time Positions

Salary: £12\.71 per hour

Hours of Work: 24 and 16 hours Per week

Location 1: (24 hours) St Matthews Hospital, 21–23 St Matthews Parade, Northampton, NN2 7HF

Location 2: (16 hours) Althorp Grange, Holdenby Road, Spratton, Northampton, NN6 8LD

About the Role

St Matthews Healthcare is looking for an organised, professional and approachable Unit Administrator and Receptionist to provide comprehensive administrative and reception support at St Matthews Hospital and Althorp Grange.

You will be an important point of contact for staff, service users, visitors and external professionals while supporting the effective day\-to\-day administration of the services.

The position covers a varied range of responsibilities including HR administration, employee onboarding, recruitment administration, payroll support, reception duties, record keeping and general unit administration.

Key Responsibilities

Administration \& HR Support

  • Coordinate and maintain HR systems and trackers.

  • Support HR administration throughout the employee lifecycle.

  • Maintain accurate employee records and personnel files.

  • Monitor sickness absence and return\-to\-work documentation.

  • Update HR databases with starters, leavers, contractual changes, annual leave and sickness information.

  • Prepare standard HR correspondence and respond to reference requests.

  • Support formal meetings by taking accurate minutes when required.

  • Produce HR reports and provide general administrative support.
The role also supports onboarding, including preparation of contracts and offer letters, completion of pre\-employment checks, inductions and probation tracking.

Reception \& General Administration

  • Answer telephone calls and deal professionally with face\-to\-face enquiries.

  • Welcome service users, visitors and healthcare professionals.

  • Manage post, correspondence and general enquiries.

  • Schedule appointments and maintain relevant diaries.

  • Support transport allocation and bookings.

  • Maintain accurate information and records.

  • Organise meetings and provide administrative support to managers.

  • Liaise with couriers, suppliers and external contacts.

  • Maintain appropriate stock and office supplies.

  • Handle petty cash and support service\-user financial administration where required.
Essential Requirements
  • Educated to secondary school level or equivalent.

  • Previous experience working in an office/administrative environment.

  • Experience working effectively as part of a team.

  • Good IT skills and proficiency in Microsoft Office.

  • Excellent organisational skills with the ability to prioritise workload.

  • Excellent written and verbal communication skills.

  • Ability to work independently and use initiative.

  • Ability to work accurately and meet deadlines.

  • Understanding of confidentiality and handling sensitive information.

  • Experience in HR administration and an understanding of HR processes.

  • Experience relating to DBS and visa administration.
Desirable
  • CIPD qualification or other relevant HR experience.

  • Previous experience within a healthcare setting.

  • Experience working within a multidisciplinary environment.

  • Awareness of healthcare terminology.

  • Experience researching and supplying information.

  • Knowledge of NHS contracting.
