Ultrasound Clinic Assistant (HCA)
Job purpose
To support Mediservices sonographers in delivering safe, effective and compassionate non\-obstetric ultrasound services across a range of examination types.
The Ultrasound Clinic Assistant will prepare and support patients, act as a trained chaperone, assist the sonographer and maintain a clean, safe and organised clinical environment. Obtain patient feedback via approved methods. The postholder will protect patient dignity, privacy and confidentiality and follow Mediservices policies, ultrasound protocols and applicable host Health Board or Trust requirements.
Main duties and responsibilities
1\. Patient care and preparation
- Welcome patients, introduce yourself and explain your role, providing reassurance throughout their visit.
- Check patient identity and appointment details in accordance with local procedures, referring discrepancies to the sonographer before proceeding.
- Check that patients have followed the preparation instructions relevant to their examination and report any concerns to the sonographer.
- Explain practical arrangements within the limits of the role, referring clinical questions and requests for scan results to the sonographer.
- Provide privacy and appropriate assistance with changing, positioning and getting on or off the examination couch, following moving and handling guidance.
- Recognise individual communication, mobility, cultural and accessibility needs and help arrange appropriate support.
- Observe patients for signs of pain, distress or deterioration and promptly alert the sonographer.
- Act as a formal chaperone during non\-obstetric ultrasound examinations, including intimate examinations where these form part of the service, following training and competency assessment.
- Explain the chaperone role and support the patient’s preferences in accordance with local policy.
- Remain present and appropriately positioned throughout the examination being chaperoned, maintaining privacy and dignity while observing the procedure.
- Offer reassurance and advocate for the patient, immediately alerting the sonographer if the patient expresses discomfort, wishes to stop or appears to withdraw consent.
- Raise concerns about inappropriate behaviour or unsafe practice through the agreed escalation process.
- Ensure other clinic duties do not compromise the ability to fulfil the chaperone role.
- Prepare examination rooms, equipment and consumables before clinics and replenish supplies between patients.
- Assist the sonographer with practical tasks within agreed protocols and assessed competence.
- Support patient flow, communicate delays sensitively and help manage changing priorities without compromising care.
- Complete authorised administrative tasks, including accurate entry or updating of patient attendance information in approved systems.
- Report equipment faults, shortages and environmental hazards promptly.
- Complete opening and closing checks and leave the clinic ready for subsequent use.
- Obtain patient feedback via the appropriate methods.
- Transport Ultrasound Equipment and Consumables between clinic sites where required.
- Follow hand hygiene, personal protective equipment, waste disposal and infection prevention procedures.
- Clean examination couches, contact surfaces and reusable equipment between patients in accordance with local protocols.
- Undertake ultrasound probe cleaning and disinfection, including use of the Tristel Duo system where required.

- Handle cleaning agents and clinical waste safely in accordance with local risk assessments and procedures.
- Communicate courteously and professionally with patients, relatives, carers and colleagues.
- Respond calmly and compassionately when people are anxious, emotionally distressed, frustrated or displaying challenging behaviour.
- Use approved de\-escalation techniques and seek assistance promptly where behaviour becomes threatening or aggressive.
- Maintain patient dignity and respect while protecting the safety of patients, colleagues and yourself.
- Refer complaints or concerns to the appropriate colleague and follow the incident reporting process where required.
- Protect personal and clinical information in accordance with applicable data protection requirements, confidentiality obligations and organisational policies.
- Access information only where necessary for authorised duties and use approved systems and communication channels.
- Maintain clear, accurate and timely records within the scope of the role.
- Protect passwords, secure unattended screens and handle paper records safely.
- Report suspected information security incidents or confidentiality breaches promptly.
- Work within the limits of training, competence and delegated responsibilities, seeking guidance whenever necessary.
- Recognise and report safeguarding concerns through the appropriate local pathway.
- Know how to summon urgent assistance and respond to emergencies within completed training.
- Report incidents, near misses and unsafe practice and contribute to learning and service improvement.
- Maintain high standards of conduct, appearance, attendance and reliability.
- Treat everyone fairly and respectfully and support reasonable adjustments.
- Participate in supervision, appraisal, relevant audits and feedback activities.
The postholder must:
- Complete all required onboarding paperwork and employment checks.
- Read, understand and acknowledge the relevant Mediservices policies and ultrasound protocols before undertaking associated duties.
- Complete assigned Bluestream e\-learning within required timescales and maintain refresher training.
- Complete local induction, including clinic procedures, emergency arrangements and escalation routes.
- Complete chaperone training before acting as a formal chaperone.
- Maintain role\-appropriate mandatory training, including infection prevention, safeguarding, information governance, moving and handling, basic life support and conflict management, as required by Mediservices.
Scope of practice
This is a clinical support role. The postholder does not independently perform or interpret ultrasound examinations, provide diagnoses or communicate scan findings. The examining clinician remains responsible for explaining the examination and obtaining informed consent.
Any additional clinical duties must be explicitly agreed, supported by appropriate training and assessed competence, and undertaken with suitable supervision.
Working conditions
The role involves direct patient contact, periods of standing and walking, assisting patients within safe handling arrangements, and potential exposure to bodily fluids and cleaning agents. The postholder may support patients who are distressed and work in clinics where demands change unexpectedly. Appropriate training, equipment, support and reasonable adjustments will be provided.

Pay: £15\.69 per hour
