Supporting leading F1 teams and Formula 1 Management across all 24 races, our work spans hospitality suites, paddocks, garages, fan zones, pit walls, and factory environments.
Alongside motorsport, we deliver technical production and live event solutions across concerts, festivals, theatre, conferences, and venues including the Southbank Centre and Barbican. Based in Banbury, we are a fast\-growing company working in some of the most exciting and demanding live production environments in the world.
About the Role
We are looking for a highly organised and proactive Travel Coordinator to support our travel management team in the planning and coordination of travel across our projects and events.
This role is ideal for someone who thrives in fast\-paced environments, enjoys problem\-solving, and can confidently manage multiple moving parts at once. You will work closely with Project Management, Operations, and travelling crew to help ensure smooth and efficient travel arrangements across the business.
The role would suit someone with previous travel, events, logistics, operations, or administrative experience, but we are also open to graduates or candidates looking to develop within the role.
Key Responsibilities
- Coordinate flights, hotels, rail, transfers, and ground transport for staff
- Prepare travel options and raise bookings for approval
- Maintain accurate travel trackers, rooming lists, manifests, and project documentation
- Produce travel packs, itineraries, and briefing documents for travelling teams
- Support day of travel changes, schedule adjustments, and urgent rebookings when required
- Coordinate with suppliers, hotels, airlines, and transport providers to confirm bookings and resolve issues
- Monitor visa requirements, entry restrictions, and travel deadlines
- Support communication between travelling crew, Project Managers, and Operations teams
- Assist with travel cost tracking, reporting, and reconciliation of expenses
- Help improve internal travel processes and maintain organised systems across projects
- Strong organisational skills and attention to detail
- Ability to manage multiple tasks and work under pressure
- Confident communication skills, both written and verbal
- Comfortable working with spreadsheets, trackers, and shared systems
- Good problem\-solving ability and a proactive mindset
- Professional and approachable manner when communicating with staff and suppliers
- Ability to handle confidential information responsibly
- Confident using Google Workspace
- Someone who is enthusiastic and happy to get involved with the wider Project Management team where needed.
- Previous experience in travel coordination, events, logistics, hospitality, or office administration
- Experience working in fast\-paced or live event environments
- Knowledge of booking platforms, travel systems, or expense tracking tools
- Understanding of international travel requirements and visas
- Experience supporting project teams or operational departments
