TRANSPORT COORDINATOR

Wrekin Old Hall Trust is seeking a practical, experienced and proactive Transport Coordinator to lead the delivery of the transport operation and safe maintenance of the College’s fleet of vehicles.

The successful candidate will be responsible for coordinating and supervising day\-to\-day home to school transport requirements, undertaking hands\-on work on the vehicles when required, ensuring that all vehicle checks and records are properly carried out and the vehicles are maintained to a high standard, supporting school activities and transport requests.

The post holder will work closely with the Bursar, marketing and other colleagues to ensure the smooth and safe operation of the transport fleet.

Working Hours

The post is full\-time, 40 hours per week, Term time plus three weeks.

Salary – competitive.

Normal working hours are 8\.00am to 12:00 and 14:00pm \- 18:00pm Monday to Friday, with a two\-hour unpaid lunch break.

A degree of flexibility will be required to meet operational needs, including occasional evening or weekend working.

Main Objectives

  • Minibus \& Vehicle Bookings: Action departmental requests, liaise with hire companies for advance bookings, and generate transport cost quotes for College and Wrekin Prep events.

  • Driver \& Schedule Management: Coordinate driver schedules for extra activities, conduct new driver interviews, ensure completion of mandatory training, and cover routes during staff absences.

  • Student Pickups \& Route Administration: Execute specific student transfers, collect parent transport data, create bus registers, update routes, and handle daily/out\-of\-hours parent communications via iSams

  • Parent \& Department Billing: Track usage from bus registers to maintain billing spreadsheets for regular and occasional users, submitting data to accounts/ledger clerks before specified deadlines.

  • Daily Fleet Checks \& Cleaning: Inspect all vehicles daily for fuel, cleanliness, and damage; clean and wash vehicles (interior and exterior) after events and on a weekly basis.

  • Fuel \& Receipt Management: Control fuel cards, ensure vehicles are topped up, and pass all fuel receipts to the Bursary.

  • Comprehensive Weekly Inspections: Perform full functional and safety checks on fluids, AdBlue, tires, lights, seatbelts, brakes, onboard equipment, first aid kits, and fire extinguishers

  • Fleet Maintenance \& Repairs: Perform minor repairs (bulbs, tires, trailers), order parts via the Facilities and arrange major repairs, servicing, MOTs, and tachograph checks with external garages.

  • Scheduled Inspections \& Lease Liaison: Organize 10\-week inspections with external companies, manage lease vehicle turn\-arounds and handle dash cam resets or reinstalls.

  • Supply \& Logistics Ordering: Monitor inventory of vehicle fluids and cleaning supplies, ordering necessary materials through the Facilities Manager desk.

  • Compliance \& Documentation: Maintain all vehicle maintenance and daily check records for a minimum of 15 months, file permit 19 stickers on hire vehicles, and submit driver timesheets to payroll.

  • Driver Licensing \& Staff Policy: Conduct annual driving license checks for all staff using school transport, and ensure new drivers review breakdown, accident, and safety procedures.

  • Policy \& Safety Updates: Annually review and update risk assessments, safety plans, insurance, and breakdown coverage.

  • Adverse Weather \& Emergency Response: Act as primary contact for out\-of\-hours breakdowns/accidents, assess early\-morning road conditions during bad weather, and advise the Senior Team, drivers, and parents.

  • Holiday \& FM Handover: Keep the Facilities Manager informed of vehicle status, arrange holiday servicing schedules, and ensure all keys and relevant information are handed over.
MIDAS Driving Assessor (once qualified)
  • Training \& Practical Assessment: Distribute MiDAS e\-learning packs, conduct and mark 90\-minute practical driving assessments for initial certifications and renewals, and issue certificates upon completion.

  • Compliance \& Standards: Ensure all minibus drivers are legally licensed, hold up\-to\-date knowledge of the Highway Code/traffic laws, and meet Permit 19 industry standards for safe, legal transport.

  • Inclusivity \& Support: Enforce equal\-opportunity policies throughout the assessment process, providing reasonable accommodations and additional support to candidates when required.

  • Record Keeping \& Insurance: Maintain accurate digital files of all test results and certificates, update administrative records for staff access, and ensure proper employer liability and professional indemnity cover is maintained.
Essential Requirements
  • D1 entitlement on your driving licenceAble to work as part of a team.

  • A good standard of driving and a commitment to passenger safety.

  • Willingness to complete MiDAS (Minibus Driver Awareness Scheme) theory and practical assessments.

  • Willingness to comply with all relevant safeguarding, health and safety and transport procedures.

  • The ability to drive College vehicles is essential. Applicants must hold a full, clean D1 driving licence.
