Our business

Academic Families is an Edinburgh\-based international education consultancy, supporting families around the world whose children study at leading UK boarding schools. We are looking for an organised, personable co\-ordinator to join our head office team and become the friendly, reliable point of contact for a group of students placed with us through one of our Spanish partners, and their UK schools.

This is a varied, logistics role at the heart of the business. No two days are the same. One day you might be arranging airport transport and updating a school on a student's travel plans, the next you could be tracking down a certificate for document validation, or wrapping birthday presents ready for posting.

Student Logistics and Administration Executive Role

What you will be doing

  • Being the main point of contact for one of our Spanish partners and UK schools, answering queries by phone and email with warmth and cultural sensitivity.

  • Co\-ordinating UK travel arrangements, from taxis and school transport to Unaccompanied Minor service.

  • Managing our document validation and apostille service, liaising with schools to gather the right paperwork.

  • Running our welcome pack, birthday and mobile phone allocation processes, so every student feels looked after from day one.

  • Keeping our systems and records accurate and up to date.

  • General office administration, and occasional weekend on\-call duty by rota.
What we are looking for
  • Excellent organisational skills and real attention to detail.

  • A warm, patient communication style, comfortable speaking with second\-language speakers.

  • Confidence managing your own workload and juggling multiple priorities.

  • A genuine interest in international education, and in doing right by young people.

  • Previous experience in an administrative, customer service or logistics role is helpful but not essential.
Hours

This is a full\-time role \- 37\.5 hours per week. Work hours are 9am – 5pm with 30 minutes for lunch, Monday to Friday but may vary and flexibility may be required at busy times. It is anticipated to be busier during term time and quieter during school holidays.

Leave entitlement: 31 days holiday \+ 2 days volunteering pa.

Pay: £26,000 \- 28,000 per year
