Stock & Purchasing Coordinator
Overview
Stone Tile Company is a growing ecommerce tile retailer supplying homeowners and trade customers across the UK. Our collections combine style, quality and value, supported by our Leicestershire showroom and warehouse.
We’re looking for an organised and proactive Stock \& Purchasing Coordinator to help keep our products in stock and incoming deliveries running smoothly. You’ll monitor stock levels, identify replenishment needs, place approved orders and work closely with suppliers and our warehouse team to keep everything on track.
This is a practical, varied role where your attention to detail and ideas will make a visible difference. You’ll work directly with our directors and a friendly, experienced team, helping improve our spreadsheet\-based processes and supporting the introduction of a stock management system as we grow. You’ll also provide cover for our Transport Coordinator during holidays and other absences.

Key Responsibilities
Purchasing \& Stock Control:
- Stock replenishment and purchasing
- Review sales, available stock, customer backorders and incoming deliveries to identify replenishment needs and flag potential shortages early.
- Recommend order quantities and timing, taking account of supplier lead times, seasonal demand, minimum order quantities, storage capacity and agreed budgets.
- Prepare and place purchase orders following director approval, check supplier confirmations and follow up outstanding orders.
- Maintain stock and purchasing spreadsheets, review agreed reorder levels and highlight slow\-moving or excess stock for action.
- Liaise with suppliers, factories and freight partners to confirm stock readiness, collection arrangements and expected arrival dates.
- Maintain incoming\-stock schedule and, communicating changes promptly with the customer service team.
- Check order and shipping documentation and liaise with freight partners on import paperwork where required, escalating queries to the appropriate person.
- Work with the warehouse to reconcile deliveries against orders, record shortages, damage or quality issues, and follow up supplier resolutions and credits.
- Maintain accurate stock records in spreadsheets and on our ecommerce platform.
- Work with the warehouse on regular stock checks and investigate discrepancies, keeping a clear record of agreed corrections.
- Maintain accurate product quantities, pack sizes, square\-metre conversions and batch or shade information where applicable.
- Keep the backorder list up to date and give customer service reliable information on stock availability and expected arrivals.
- Provide a concise weekly stock update covering shortage risks, incoming deliveries and replenishment decisions requiring approval.
- Identify practical improvements to spreadsheets, stock reporting and supplier follow\-up processes.
- Support the introduction of a stock management system by helping prepare accurate product and supplier data, document existing processes and test day\-to\-day stock workflows.
- Provide cover for the Transport Coordinator during holidays and other absences, following agreed procedures.
- Book outbound deliveries through logistics partner portals, prepare pick sheets and loading paperwork, and coordinate customer collections with the warehouse.
- Track deliveries and resolve transport queries with logistics partners and customer service, updating customers when required.
- Agree priorities with the director during cover periods so essential replenishment and inbound delivery work continues.
- Practical experience in stock replenishment, purchasing or supply chain coordination, including identifying or recommending when stock should be reordered.
- Strong Excel skills, including formulas, lookups and checking information across spreadsheets.
- Experience working with suppliers, following up orders and managing changing delivery dates.
- Excellent attention to detail, confidence working with figures and the ability to investigate discrepancies.
- Clear communication, good organisation and a practical approach to prioritising work in a small team.
- Experience within an importer, wholesaler, distributor or ecommerce business; tile or building materials knowledge would be helpful.
- Familiarity with international freight, inbound delivery documentation or pallet distribution.
- Experience using stock management software, Magento or Shopify, or supporting a system change.
