Job Overview
We are seeking a diligent and detail oriented Stock and Purchasing Administrator to join our team on a full\-time basis.
The Stock and Purchasing Administrator will play a crucial role in ensuring that our inventory, tools, warranty processes and purchasing activities are well\-organised and efficiently managed. This position involves managing stock levels, raising purchase orders, issuing parts to engineers, maintaining tool logs, arranging warranty RMAs, and coordinating tool servicing and testing.
The ideal candidate will have strong organisational skills, excellent attention to detail, and a good understanding of stock control, purchasing, logistics and administrative processes.
Working Hours
Full\-time
Monday to Friday, 8:30am – 5:00pm
Responsibilities
- Receive and check incoming stock for accuracy and quality.
- Organise and store products in designated areas, ensuring easy access for retrieval.
- Replenish shelves with products as needed, maintaining optimal stock levels.
- Monitor inventory levels and report discrepancies or shortages to management.
- Maintain cleanliness and organisation of storage areas to ensure safety and efficiency.
- Collaborate with team members to optimise stock flow and layout.
- Use the inventory management system to accurately record stock movements.
- Assist in negotiating with suppliers when necessary to ensure timely deliveries.
- Raise purchase orders and accept deliveries.
- Issue parts to engineers.
- Arrange warranty RMA returns with suppliers and manufacturers.
- Prepare and manage small defect quotes.
- Maintain and update the company tool log.
- Arrange for tools to be sent out for calibration, servicing, testing and repair.
- Coordinate internal testing of tools where required.
- Manage tool warranty and service requirements.
- Liaise with engineers, suppliers and management to ensure tools and parts are available when needed.
- Ensure all job role activities are carried out in accordance with company policies, procedures, ISO standards, BS standards, NSI requirements and other applicable accreditations.
- Maintain accurate records and documentation to support audit, compliance and accreditation requirements.
- Strong understanding of stock control, purchasing and logistics operations.
- Previous stock or purchasing experience is required.
- Excellent organisational skills with strong attention to detail.
- Ability to work effectively both independently and as part of a team.
- Strong communication skills for liaising with suppliers, engineers and team members.
- Good administrative skills and confidence using inventory or purchasing systems.
- Ability to handle physical tasks, including lifting and moving stock items as required.
- Experience with warranty claims, RMAs, tool logs or service scheduling would be beneficial.
- Awareness of ISO 9001, ISO 14001, ISO 45001, BS standards, NSI requirements or working within an accredited environment would be advantageous.
