The Opportunity
We are a growing property investment and management company expanding our residential block management operation across London.
We are looking for an experienced Residential Block Manager / Senior Block Manager to take genuine ownership of a portfolio of residential blocks.
This is a hands\-on residential leasehold block management role, covering service charges, leasehold matters, Section 20, fire safety, building compliance, repairs, major works, contractors, inspections and leaseholder relationships.
You will work closely with senior management and have the opportunity to help develop our growing block management operation as the portfolio expands.
IMPORTANT
Residential block management experience is essential.
This role is not primarily a Facilities Management, workplace facilities, hotel facilities, lettings or tenancy\-management position.
We are specifically looking for someone with practical experience of managing residential leasehold blocks, including service charges, leaseholders, communal areas, contractors, compliance and building maintenance.
The Role
You will take responsibility for the day\-to\-day and strategic management of your residential block portfolio, ensuring buildings are properly managed, safe, compliant, maintained and financially controlled.
Key Responsibilities
Residential Block Management
- Manage a portfolio of residential blocks, taking ownership of their day\-to\-day management
- Act as a key contact for freeholders, landlords, leaseholders, residents, RMCs, contractors and other stakeholders
- Carry out regular site and communal\-area inspections
- Identify maintenance, compliance and building issues and ensure they are followed through to completion
- Maintain accurate property records, action trackers and correspondence
- Deal professionally with leaseholder and resident queries
- Manage day\-to\-day leasehold matters
- Understand and apply lease obligations
- Manage Section 20 consultation processes and associated major works
- Maintain appropriate notices, records and communications
- Liaise with solicitors and professional advisers where required
- Prepare, manage and monitor service charge budgets
- Monitor expenditure against budget and identify unusual costs
- Coordinate service charge demands
- Monitor service charge arrears and liaise with accounts on recovery
- Review expenditure and identify cost\-saving/value\-for\-money opportunities
- Ensure expenditure is correctly allocated and authorised
Compliance is a key part of the role. You will monitor and manage the compliance position of each block, including:
- Fire Risk Assessments (FRAs)
- Fire doors and fire safety remedial works
- Fire alarms/detection and emergency lighting
- EICR/electrical certification
- Gas safety where applicable
- Asbestos
- Legionella/water hygiene
- Lift inspections and servicing
- Building insurance
- Other statutory inspections and certification
Repairs, Maintenance \& Major Works
- Manage reactive repairs and planned maintenance
- Obtain and compare quotations
- Instruct and manage contractors
- Monitor works through to completion
- Inspect completed works
- Manage refurbishment and major works programmes
- Assist with procurement and tendering
- Identify recurring issues and recommend longer\-term solutions
- Build relationships with reliable contractors and suppliers
- Maintain an approved contractor database
- Obtain competitive quotations
- Monitor quality, cost, performance and responsiveness
- Ensure appropriate insurance and compliance documentation is held
- Address poor performance and unresolved issues
- Conduct regular building and communal\-area inspections
- Monitor cleanliness, lighting, access systems, fire safety and general presentation
- Identify health, safety, maintenance and compliance issues
- Manage building insurance information
- Assist with insurance claims and liaise with insurers, brokers, loss adjusters and contractors
- Monitor reinstatement works
Some properties are let to local authorities, housing providers or housing brokers, so you may liaise with these organisations regarding building and landlord\-management matters.
A smaller part of the portfolio may also include commercial properties, such as industrial estates, high street units, gyms and offices. The focus remains on building management, maintenance, compliance, contractors and insurance rather than general facilities management.
Systems \& Department Development
As our operation grows, you will help improve our systems and processes, including:
- Block management templates and digital records
- Block\-specific SOPs
- Compliance and maintenance trackers
- Inspection schedules
- Contractor databases
- Emergency procedures for major leaks, lift failures, fire incidents and serious building defects
- Reporting and operational processes
- Identify potential new block management instructions
- Assist with onboarding new blocks and clients
- Support portfolio expansion
- Identify opportunities to improve efficiency and profitability
- Provide building and portfolio performance information to senior management
We are looking for an experienced, commercially minded and proactive Block Manager who can take ownership of a portfolio and confidently manage the practical, financial, leasehold and compliance aspects of residential buildings.
Essential
- Minimum 3 years' residential block management experience
- Proven experience managing residential leasehold blocks
- Strong understanding of leasehold management
- Strong knowledge of service charges and service charge budgets
- Practical experience with Section 20 and major works
- Experience managing building compliance and statutory certification
- Practical experience with fire safety and FRAs
- Experience managing repairs, maintenance and contractors
- Experience carrying out residential block inspections
- Experience dealing with leaseholders, freeholders and landlords
- Strong organisation, communication and administration skills
- Ability to manage multiple properties, issues and deadlines
- Full UK driving licence and access to a vehicle
- IRPM / TPI / equivalent qualification, or currently studying
- Commercial block/property management experience
- Experience with councils, housing providers or housing brokers
- Experience with lifts and communal building systems
- Major refurbishment experience
- Experience developing block management systems/SOPs
