About the Role
As the first point of contact for our patients, you will play an important role in ensuring every visit is smooth, professional, and positive, while supporting the efficient day\-to\-day running of the clinic.
This is a part\-time position of a minimum of 11 hours per week, with regular shifts across weekends and evenings, alongside flexibility to provide holiday and sickness cover when required.
The role will suit someone who is dependable, flexible, and comfortable working varied hours to support the needs of a busy healthcare clinic.
Working Hours
- Minimum 11 hours per week
- Sunday shift required: 9:00am–4:30pm
- At least one evening shift per week required, finishing at 8:00pm
- Flexibility to provide holiday and sickness cover
- Additional hours may be available depending on clinic requirements
- Flexibility around working hours is essential, including occasional changes to scheduled shifts
- Provide a warm, professional welcome to every patient
- Book, arrive, and complete appointments using our clinic management system
- Manage practitioner diaries effectively
- Handle enquiries in person, by phone, and via email with accuracy and empathy
- Take payments, process refunds, and set up treatment packages
- Promote clinic services and maintain high presentation standards
- Run follow\-up reports to support continuity of patient care
- Liaise with third\-party providers such as private medical insurers and medico\-legal partners
- Help maintain a safe, organised, and welcoming clinic environment
- Support the wider team with the smooth running of the clinic
- At least 1 year’s experience in a reception or customer\-facing role
- Exceptional customer service skills, with a natural ability to put people at ease
- Strong organisational and multitasking abilities
- Confident IT skills, including Microsoft Office (Word and Excel), with the ability to learn new systems quickly
- Excellent communication skills and attention to detail
- A proactive, reliable team player who can also work independently
- Availability to work weekends and evenings
- Flexibility to provide holiday and sickness cover
- A positive, professional attitude and a genuine interest in providing excellent patient care
Comprehensive training will take place over approximately 3–4 weeks prior to your start date. During this period, you may need to be available to work additional hours to ensure you are fully confident with our systems, processes, and clinic procedures.
