Receptionist / Front of House - City Bank (Onsite)
Our City financial broker client is seeking a permanent front of house /receptist opportunity. This full time role which is split between 2 shifts patterns (8-5 / 9-6) covering another collleague who has many years of experience and will be training you first hand. We are seeking someone with 2 - 5 years experience in front of house / reception work for a white collar organisation. You will be one of the welcoming faces of the business as visitors/clients arrive onsite. The office is a max 2minute walk from Liverpool Street station. Due to the nature of the role, its 5 days onsite. The business is a global entity however the London business is 100+ staff strong on one floor overlooking the City of London landscape.
The Role
The Receptionist will provide professional front-of-house support while assisting with the smooth day-to-day operation of the office. The role involves welcoming visitors, managing meeting rooms, coordinating in-house events, overseeing deliveries and post, and supporting a range of administrative and facilities-related activities. As a key point of contact for both internal teams and external stakeholders, the successful candidate will help maintain a welcoming, organised and professional office environment.
Key Responsibilities
Reception and Front-of-House
- Welcome visitors and guests in a professional and friendly manner.
- Register visitors through the visitor-management portal.
- Answer and direct incoming telephone calls.
- Manage meeting-room bookings and ensure rooms are appropriately prepared.
- Monitor meeting-room comfort levels and address any issues promptly.
- Ensure meeting rooms are cleared, reset and ready for subsequent use.
- Work closely with the Roadshow team to coordinate in-house events.
- Support the organisation of training sessions, staff social events, client events, lunches and other internal initiatives.
- Assist with room preparation, catering, equipment and general event logistics.
- Receive and coordinate incoming deliveries, liaising with building management and security where required.
- Distribute incoming mail and collect outgoing post.
- Frank outgoing post and arrange courier services, including UPS and DHL.
- Coordinate loading-bay bookings for deliveries.
- Raise the relevant building permits and access requests.
- Provide general administrative and facilities assistance to support the efficient running of the office.
- Monitor stock levels and assist with ordering office supplies, refreshments and other consumables.
- Liaise with colleagues, contractors and external suppliers as required.
- Undertake other reasonable ad hoc duties in support of the wider team and business.
- Previous experience in a reception, front-of-house.
- Professional, approachable and confident when dealing with visitors and colleagues.
- Strong organisational skills with the ability to manage several priorities simultaneously.
- Clear and professional verbal and written communication skills.
- Good attention to detail and a proactive approach to resolving issues.
- Comfortable using visitor-management systems, meeting-room booking platforms and standard Microsoft Office applications.
- Some switchboard experience useful
- Able to work effectively both independently and as part of a wider team.
- A flexible and helpful approach to changing business requirements.
