Job Summary

We are looking for an experienced and organised Purchase Manager to manage the purchasing and procurement activities of our retail shop. The successful candidate will be responsible for sourcing products, negotiating with suppliers, maintaining appropriate stock levels, controlling purchasing costs, and ensuring products are available when required.

Key Responsibilities

  • Plan and manage the purchasing of products and merchandise for the retail shop.

  • Identify and evaluate reliable suppliers and manufacturers.

  • Negotiate prices, payment terms, delivery schedules, and contracts with suppliers.

  • Compare supplier quotations and select products based on quality, price, and availability.

  • Monitor inventory levels and place purchase orders according to business requirements.

  • Coordinate with the store and inventory teams to avoid overstocking or stock shortages.

  • Maintain strong relationships with existing suppliers and develop new supplier partnerships.

  • Monitor product quality and ensure purchased goods meet company standards.

  • Track purchase orders, deliveries, invoices, and supplier payments.

  • Follow up with suppliers regarding delayed, damaged, or incorrect deliveries.

  • Monitor market prices, product trends, and competitor offerings.

  • Identify opportunities to reduce purchasing costs without compromising product quality.

  • Maintain accurate purchasing records and prepare regular purchasing reports.

  • Manage purchasing budgets and ensure spending remains within approved limits.

  • Coordinate with the finance team regarding invoices, payments, and purchase documentation.

  • Ensure all purchasing activities follow company policies and procedures.

  • Support the management team in planning seasonal and promotional stock requirements.
Requirements
  • Previous experience in purchasing, procurement, or supply chain management, preferably in retail.

  • Strong negotiation and supplier\-management skills.

  • Good understanding of inventory and stock management.

  • Strong analytical and decision\-making abilities.

  • Good communication and organisational skills.

  • Ability to compare prices, quality, and supplier terms effectively.

  • Good knowledge of Microsoft Excel or similar software.

  • Ability to work under pressure and meet purchasing deadlines.

  • Strong attention to detail and accuracy.

  • Experience with purchasing or inventory management software is an advantage.
