Property Manager — Short\-Term Lets \| Edinburgh

mySTAYINN is a full\-service short\-term let management company based in Edinburgh city centre, looking after properties across Edinburgh, the Lothians, Glasgow and the Scottish Highlands. Since \[year] we've made letting simple for property owners. We handle everything from bookings, pricing and guest communication to housekeeping, linen, maintenance and short\-term let licensing, so owners get the income without the day\-to\-day work. We now manage \[number] properties, from city\-centre apartments to Highland retreats.

Our aim is simple: owners should never have to worry about their property, and every guest should get a clean, well\-run, memorable stay.

As Property Manager, you will take full ownership of the financial and commercial performance, driving operational excellence and business growth. You will be responsible for managing day\-to\-day operations, developing strategic sales and marketing initiatives, and leading a high\-performing team to ensure outstanding service for our owners and guests. You’ll be accountable for the performance of our portfolio, from service delivery and compliance through to owner relationships and commercial results. You'll direct our field teams and third\-party providers to keep every property guest\-ready and every licence in date, act as the named contact for our owners, and make sure each property is earning what it should. This is a pivotal leadership role for a driven, entrepreneurial and commercially minded professional who thrives in a fast\-paced environment, likes structure, takes ownership and wants to help shape how a growing business works.

Key Responsibilities:

  • Service Delivery \& Scheduling: Own the day\-to\-day running of the portfolio so every property is guest\-ready for every stay. Agree cleaning, maintenance and inspection priorities with the field teams each week, match resources to the booking calendar, and plan ahead for peaks and back\-to\-back changeovers rather than reacting to them.

  • Supplier \& Provider Management: Recruit, onboard and support third\-party cleaning and maintenance providers. Monitor their performance, quality and availability against agreed service levels, and act where standards slip.

  • Quality Standards: Set and maintain the property presentation standard, and hold the field teams to it through inspection results.

  • Licensing \& Compliance: Make sure every property holds a valid short\-term let licence and that all certificates stay in date. Line\-manage the compliance team member responsible for this.

  • Stock \& Inventory: Oversee linen, consumables, key control and property inventory.

  • Owner Relations: Be the single named contact for each owner, building strong relationships that drive high satisfaction and retention, with performance updates going out on a fixed cycle.

  • Property Onboarding: Coordinate the operational setup of new properties before launch.

  • Guest Experience: Deliver a five\-star guest experience in line with the mySTAYINN Guest Hospitality Standards. Review guest feedback, act on negative reviews, and take recurring themes back to the responsible department.

  • Financial \& Commercial Performance: Take full ownership of the portfolio's financial performance, ensuring profitability and sustainable growth. Own occupancy, rate and revenue, and act on properties that are underperforming. Liaise closely with the accounts team on the portfolio’s financials.

  • Team Leadership: Recruit, motivate and support the local team, fostering a high\-performance culture and ensuring alignment with company objectives.

  • Process Optimisation: Continuously improve operational efficiency by implementing best practice and using data\-driven insights.

  • Stakeholder Collaboration: Work closely with internal teams and external providers to align operational goals with company objectives.

  • Industry Awareness: Stay informed on market trends, industry regulations and emerging technologies to keep the business ahead of the curve.

  • Innovation \& Continuous Improvement: Contribute to the wider Operations Team by trialling new initiatives, developing guidance and supporting key projects.
Key Performance Targets:
  • Achieve Airbnb guest review scores of 4\.7\+.

  • Keep service providers performing to agreed service levels, with 90% app usage.

  • Achieve owner retention of 75%\+ year on year, with owner reports issued on time every cycle.

  • Achieve average occupancy of 70%\+ across the portfolio, with revenue per available night at or above the local market benchmark.
About You:
  • Proven, hands\-on experience in an operations, hospitality or property management role with commercial responsibility.

  • Strong commercial acumen and experience of P\&L management; comfortable owning numbers and acting on them, not just reporting them.

  • Excellent organisational and scheduling skills.

  • Strong analytical, problem\-solving and decision\-making skills, with a focus on optimising business performance.

  • Experience managing suppliers or third\-party contractors.

  • Excellent relationship\-building skills with stakeholders at all levels, and confident dealing directly with property owners, including the difficult conversations.

  • Confident with technology, apps and spreadsheets.

  • Strong leadership and people management abilities.

  • Performance\-driven mindset with a focus on continuous improvement.

  • Ambitious and self\-motivated, with the ability to drive results independently.

  • Exceptional written and spoken communication skills.

  • Adaptable and flexible in responding to market changes and emerging challenges.

  • Comprehensive understanding of business functions, industry best practice and relevant regulations.

  • Knowledge of property management systems (PMS), ideally Avantio, Breezeway and Freshdesk.

  • Knowledge of Scottish short\-term let licensing and the Edinburgh visitor levy.

  • Experience of the Edinburgh or Highlands short\-let market (desirable).

  • ARLA, MARLA or equivalent (desirable).
Location \& Working Pattern:

This is a full\-time, office\-based role at our office on Thistle Street in Edinburgh city centre, 40 hours a week, Monday to Friday. Our field teams handle inspections and the physical side of the properties. You'll manage performance, compliance and the owner relationship. You'll need a full UK driving licence and access to a car for property visits across Edinburgh and the Lothians, and there will be regular travel to Inverness and the Highlands. Please note that occasional on\-call weekend cover is required.
