About the Team
The Project Management Team ensures Artesia's projects are delivered on time, within budget, and to the required quality. The team provides structure, visibility, and coordination to enable multi\-disciplinary teams to deliver their best work, while ensuring clients and stakeholders experience a smooth and transparent process.
The key responsibilities of the team are to:
- Lead project planning, scoping, scheduling, and resource allocation activities
- Monitor project progress and proactively manage risks, issues, and dependencies
- Maintain clear and effective communication with clients, stakeholders, and delivery teams
- Manage budgets, deliverables, and commercial obligations, ensuring adherence to contracts and expectations
- Facilitate internal reporting, tracking performance and flagging changes early
- Support continual improvement by capturing lessons learned and feeding back into future processes
- Contribute to process development, proposal preparation, and team coordination across the company
As a Project Coordinator at Artesia, you’ll support the effective running of projects and services across our portfolio, working closely with our Project Managers and multi\-disciplinary delivery teams. You’ll take ownership of project coordination and administration activities, helping to ensure key projects are well organised, accurately recorded and effectively managed.
You’ll maintain clear and accurate project information, including progress, actions, risks, dependencies, budgets and upcoming activities, and proactively highlight issues or decisions requiring attention. You’ll support project reporting and invoicing, monitor project performance, and help ensure key project processes are completed effectively and on time. You’ll also support resource planning by maintaining resource information, tracking planned and actual effort, and identifying upcoming resource requirements or potential conflicts.
As your experience and capability develop, you’ll also take increasing responsibility for coordinating and managing smaller projects and services, providing the opportunity to develop your project management skills and progress towards a Project Manager role.
Key Responsibilities
- Coordinating project activities, actions, deadlines and information across multiple projects or services
- Maintaining accurate project records and using business or project management systems effectively
- Supporting project monitoring, reporting, invoicing and budget tracking, identifying and escalating potential issues where appropriate
- Communicating clearly and professionally with Project Managers, delivery teams, clients and other stakeholders
- Prioritising competing activities and taking ownership of tasks through to completion
- Supporting project planning, risk and issue management, mobilisation and closure activities
- Identifying opportunities to improve project administration, systems and ways of working
- Developing the skills and judgement required to take increasing responsibility for smaller projects and services
We’re looking for a project professional who can combine structure and flexibility to deliver high\-quality outcomes.
Essential Experience
- 1\-3 years relevant experience in project coordination, project administration, business operations or a similar organisational role.
- Strong organisational and prioritisation skills, balancing deadlines and competing priorities effectively.
- Strong Microsoft 365 skills, particularly SharePoint, Word, Outlook, Teams, and Excel.
- Excellent written and verbal communication skills.
- Degree in relevant discipline (2:2\+).
- Previous experience supporting projects is desirable; formal project management experience is not required
- Project management training or qualifications (e.g., PRINCE2 Foundation, Agile Foundation) desirable but not essential. Support will be provided for relevant professional development.
- Experience within a consultancy, engineering, professional services, or technical environment.
- Applies core principles reliably, developing expertise in specific areas and learning quickly from mistakes.
- Independently completes small–medium tasks, prioritising effectively and asking for help when needed.
- Communicates assumptions clearly, gives constructive feedback, and builds relationships with colleagues.
- Works with some independence on familiar tasks; escalates when new challenges arise.
- Owns small work packages and proactively looks for ways to improve work and processes.
- Anticipate issues and resolve problems proactively.
- Improve business systems, processes, and ways of working.
- Contribute positively to Artesia's culture and business performance.
- Ensure project coordination activities are delivered consistently to a high standard.
