Project Administrator
ROLE OVERVIEW
The Project Administrator supports the smooth delivery of client campaigns and internal activity by providing strong administrative, scheduling, and workflow support across the Account Management \& Production team.
Working closely with our clients, internal teams and external suppliers, the role helps keep information accurate, timelines visible, and work moving efficiently through each stage of delivery.
The role is focused on organisation, coordination, system accuracy, and day\-to\-day operational support rather than owning project delivery. It plays an important part in helping teams stay aligned, maintaining records, supporting proofing and handovers, and ensuring that key actions are followed through.
ADMINISTRATION \& WORKFLOW SUPPORT
- Support the coordination of schedules, deadlines, and key actions across multiple teams and our clients.
- Ensure documentation is complete, up to date, and accessible, including briefs, scopes of work, job information, and delivery updates.
- Assist with supplier scheduling and proofing coordination where required.
- Help ensure deliverables, specifications, and timing requirements are clearly captured and communicated.
- Track outstanding actions and follow up with relevant teams and clients to help keep work progressing.
- Assist with internal handovers and help ensure information is passed on clearly between departments.
- Support artwork and data proofing processes by checking that required information is complete and routed correctly.
- Provide day\-to\-day administrative support to the Account Management function across campaign and operational activity, including quotations, artwork checking and presentation preparation.
- Monitor delivery schedules and flag any issues, gaps, or changes that may affect timings.
- Support the team with job set\-up, progress tracking, and close\-down activities.
- Request client purchase orders (POs) and maintain an accurate invoicing tracker.
- Manage multiple PO types including campaign POs, retainers, returns, , and ad\-hoc print or agency requests.
- Manage ad hoc print jobs including RFQs, quoting clients, approvals, artwork and proof sign\-off, and delivery notifications.
- Keep scheduling tools, trackers, and internal systems up to date with accurate job and status information.
- Maintain SOL and related records, ensuring jobs and quotes are updated, closed down correctly, and aligned with current information.
- Produce routine status updates and administrative reports as required by the team.
- Support budget and job administration tasks where required.
- Identify opportunities to improve admin processes, system accuracy, and operational efficiency.
- Experience in an administration, operations, production support, client services, or coordination role.
- Strong organisational skills and the ability to manage multiple tasks and deadlines.
- Excellent attention to detail and accuracy in managing records, systems, and documentation.
- Confident communicator who can work effectively with different teams and external suppliers.
- Comfortable using Microsoft Office, particularly Excel, and updating internal systems and trackers.
- Able to work in a fast\-paced environment and respond positively to changing priorities.
- Proactive, dependable, and solutions\-focused in approach.
- Experience of workflow or project systems would be useful, but strong administration and coordination skills are the priority.
