Purpose of the role

To provide highly organised, proactive and discreet personal and administrative support to the CEO, ensuring his professional and personal commitments are managed efficiently. The successful candidate will act as a trusted right\-hand support, anticipating needs, managing the CEO's calendar and personal administration, and taking ownership of a wide range of day\-to\-day errands and ad hoc tasks.

Duties
· Manage and maintain the CEO's personal and professional calendar, including appointments, meetings, reminders, travel and important dates.

· Coordinate personal appointments and commitments, ensuring the CEO is fully prepared and aware of his schedule. You will be working under the instruction of the EA who may or may not be on site.

· Act as a trusted and discreet point of contact for personal matters, handling communications and arrangements on the CEO's behalf where appropriate.

· Will be needed to assist on trips with grandchildren when required.

· Carry out a wide range of personal errands and ad hoc tasks, taking ownership from start to finish.

· Collect and drop off laundry, dry cleaning, parcels, documents and other personal items.

· Collect prescriptions and other personal purchases, ensuring items are obtained and delivered promptly.

· Purchase and organise gifts for friends, family members, clients and other important contacts, including researching suitable gifts, ordering, wrapping and arranging delivery where required.

· Keep track of birthdays, anniversaries and other important personal occasions, proactively reminding the CEO and arranging gifts or cards in good time.

· Arrange personal shopping and household purchases, including researching options, placing orders and dealing with returns or exchanges.

· Make restaurant, hotel, travel and other personal bookings as required, including preparing itineraries.

· Organise lunches, dinners, social engagements and other personal arrangements for the CEO.

· Manage subscriptions, memberships, renewals and other recurring personal administration.

· Assist with correspondence, emails and messages when requested, including drafting responses from dictated wording.

· Maintain accurate records, lists and reminders relating to the CEO's personal commitments, purchases, appointments and outstanding tasks.

· Coordinate with household staff, contractors, suppliers and other service providers where required, ensuring jobs are completed to the expected standard.

· Support the CEO with occasional business administration, meeting preparation, travel planning and other executive tasks when required.

· Assist with research, information gathering and preparation for meetings or personal decisions.

· Handle confidential, sensitive and personal information with the highest level of discretion and professionalism.

· Undertake any other reasonable ad hoc duties or projects requested by the CEO.

Person specification

· Highly organised, proactive and dependable, with excellent attention to detail.

· Presentable in appearance

· Based in Halifax, West Yorkshire, with a good knowledge of the local area and surrounding towns.

· Flexible and willing to get involved in a broad range of tasks, including practical personal errands.

· Comfortable working independently, using initiative and anticipating what the CEO may need before being asked.

· Discreet, trustworthy and able to handle confidential personal and business information.

· An excellent communicator who is confident dealing with suppliers, businesses, contractors and other contacts on the CEO's behalf.

· Professional, personable and confident when representing the CEO.

· Able to prioritise competing tasks and remain calm when plans change at short notice.

· Technologically confident and comfortable using calendars, email, online shopping, booking systems and other digital tools.

· A strong problem solver who takes ownership and finds solutions rather than simply identifying problems.

Requirements

· Must be based in Halifax, West Yorkshire.

· Full UK driving licence required, with access to a reliable vehicle.

· Must be comfortable driving for personal errands and collecting/delivering items when required.

· Willingness to travel locally and occasionally further afield as required.

· Previous experience as a Personal Assistant, Executive Assistant, Private PA, Household Manager or in a similarly trusted support role is desirable.

Working Hours

· 5 days per week.40 hours a week (unpaid lunch break)

· £30,000 a year

· Primarily normal working hours (8am \- 4\.30pm) with flexibility for occasional early mornings, evenings, weekends or out\-of\-hours tasks when required.

· The successful candidate must be flexible and responsive to genuine ad hoc requests, while prioritising tasks effectively.

What success looks like

· The CEO's calendar, appointments and personal commitments are organised and proactively managed.

· Personal errands and requests are completed efficiently, accurately and without unnecessary follow\-up.

· Important dates, gifts, bookings, renewals and other commitments are anticipated and handled in advance.

· The CEO can rely on the PA to take ownership, use initiative and maintain complete confidentiality.

Pay: £30,000\.00 per year
