Patient Coordinator & Clinic Assistant
Geometry Clinic is a doctor\-led medical aesthetics clinic specialising in advanced skin tightening, injectables and energy\-based treatments.
We are looking for a confident, organised and proactive Patient Coordinator \& Clinic Assistant to join our team.
This is not a passive reception role. The main focus is on responding to new leads promptly, following up enquiries, working through the existing client database and helping convert interest into consultations and treatment bookings.
The role is mainly clinic\-based, with some remote work when appropriate.
Main responsibilities
- Respond to new leads promptly by phone, WhatsApp and email
- Follow up enquiries and guide patients towards consultation or treatment booking
- Work proactively through the existing client database
- Reactivate previous clients and older enquiries
- Follow up treatment plans and patients who have not yet booked
- Keep follow\-ups organised and make sure enquiries are not left without a next step
- Help maintain and fill clinicians’ diaries
- Keep accurate records of conversations, follow\-ups and outcomes
- Work with clear activity and booking targets
- Support patient flow and general clinic organisation
- Assist the doctor when needed
- Take before\-and\-after photographs
- Help film short videos and behind\-the\-scenes content
- Provide general support around patients and appointments
About you
We are looking for someone who has:
- Excellent spoken and written English
- A confident, natural and professional telephone manner
- Previous experience in sales, lead conversion, bookings, customer service or client\-facing work
- Confidence speaking to new enquiries and guiding them towards a booking
- Strong follow\-up discipline
- A proactive approach — you do not wait to be told about every task
- Good organisation and attention to detail
- The ability to manage multiple conversations and follow\-up dates
- Good judgement when communicating with clients
- A warm and professional manner without being pushy
- Confidence using WhatsApp, Instagram and booking/CRM software
- Reliability, good timekeeping and the ability to work independently
- Comfortable working with KPIs such as leads contacted, follow\-ups completed and bookings generated
- The ability to take feedback and adapt quickly
- Discretion and professionalism when working with private medical information
Hours
Initially 3–4 days per week, with potential to increase.
The role is mainly clinic\-based, with some remote work where appropriate.
Some Saturday availability is required.
Pay
£15–£16 per hour depending on experience
Potential for a performance\-based bonus for the right candidate.

This role is best suited to someone who genuinely enjoys proactive client communication, follow\-up and conversion.
It is not a role where you simply wait for incoming calls or messages. We are looking for someone who actively works through leads, follow\-ups and the existing client database.
