Facilities & Property Maintenance Coordinator
Part-time | Remote with London site visits | Circa £30,000 FTE, pro rata
We are looking for an organised and proactive Facilities & Property Maintenance Coordinator to support a portfolio of sites across London.
This is a varied role combining remote administration with regular site visits. You will work closely with site teams, contractors and central operations to keep sites safe, compliant, well maintained and presented to a high standard.
Hours: 15-20 hours per week, worked across three days - ideally Tuesday, Wednesday and Thursday. One day per week will typically involve visiting Greater London sites on a rota, with the remaining hours worked remotely.
What you’ll be doing
- Build strong working relationships with site managers and colleagues across the portfolio.
- Carry out site walk-rounds, identifying maintenance issues, defects, safety concerns and presentation improvements.
- Log, prioritise and coordinate reactive repairs, planned maintenance and snagging works.
- Book and liaise with contractors, ensuring they have the correct site access, information and paperwork.
- Track jobs through to completion, checking the quality of work and following up where required.
- Maintain accurate records of maintenance requests, quotations, invoices, contractor visits and completed works.
- Support planned preventative maintenance schedules and small improvement projects.
- Maintain health and safety, fire safety and compliance records, including risk assessments, certificates, contractor RAMS and inspection documentation.
- Support site checks around housekeeping, emergency equipment, fire exits, signage and general safety standards.
- Report hazards, defects, incidents and non-compliance issues, ensuring actions are completed and recorded.
- Manage the facilities inbox, provide updates on outstanding works and identify recurring issues or cost-saving opportunities.
- Assist with quotations, purchase orders and invoice checks.
- Previous experience in facilities coordination, property maintenance, building management, site operations or a similar role.
- Experience coordinating contractors, repairs, maintenance requests or planned works.
- A good understanding of health and safety and the importance of accurate compliance records.
- Strong organisational skills, with the ability to manage competing priorities and follow actions through to completion.
- Confident communication skills and a practical, service-led approach.
- Good IT skills, including Microsoft Office and confidence using trackers, databases or maintenance systems.
- A proactive, problem-solving mindset and excellent attention to detail.
- Ability to travel to sites across London once a week on a rota. A full driving licence is essential.
