Part Time Clinic Administrator
As part of our clinical team, this role is essential to ensuring our patients receive the best standard of care from arrival through to departure, ensuring our patients feel informed and engaged throughout their visit to our clinic. The Scan Clinic Assistant is primarily responsible for ensuring the smooth running of the working day by welcoming patients into the clinical area and preparing them for their scan. You will also be involved with administrative tasks to provide support to the clinical teams, however will be primarily patient facing.
Hours: Monday\-Sunday, 16\-20 hours per week. This role is to work every Monday afternoon to evenings, Tuesday day, Wednesday afternoon to evenings up to 9\.30pm, adhoc friday afternoon to evenings and two weekends per month. As part of our clinical team, this role is essential to ensuring our patients receive the best standard of care from arrival through to departure, ensuring our patients feel informed and engaged throughout their visit to our clinic. The Healthcare/ Scan Clinic Assistant is primarily responsible for ensuring the smooth running of the working day by welcoming patients into the clinical area and preparing them for their scan. You will also be involved with administrative tasks to provide support to the clinical teams, however will be primarily patient facing.
What you are responsible for:
- Welcoming patients in a professional, courteous manner, coordinating their arrival through to leaving
- Escorting patients to and from the clinical area as required, explaining the procedure in full and ensuring any questions or concerns are managed professionally
- Completing and checking the patient's pre\-scan data protection/consent form and health and safety questionnaire (where applicable)
- Ensuring patient and customer focus is central to the success of the department by delivering an excellent level of patient care throughout
- Accurately entering all relevant patient data into the patient management system
- Checking reports and imaging before referring on.
- Managing administrative tasks within the unit that include:
- Dealing with direct and face to face enquiries
- Booking clinically validated appointments on the internal system
- Ensuring all payments are invoiced promptly and accurately.
- Clean down key equipment at the beginning of each clinic and ensure that the high standard of cleanliness is maintained throughout the clinic
- Provide the vital link between the Sonographer completing the ultrasound scans and their experience is good.
- Build a rapport with each and every customer.
- Ready the room and connect with all of our customers and make them feel welcome and at ease
- Complete all wellbeing reports in full
- Support the Sonographer throughout the scan process allowing them to concentrate on the technical aspects of the scan
- Deal with customers with compassion and empathy as the primary objective to include any sensitive situations.
- An empathetic and caring approach
- A passion for delivering the highest level of customer service
- A good understanding of health and safety and infection control
- The ability to work independently and as part of a multi skilled team
- Flexibility in working patterns to fulfil site requirements
- Excellent written and verbal communication skills, with a capability to present information in a logical and efficient manner
- Strong administration skills with an ability to pick up new systems quickly
- Good attention to detail and checking reports and images
- The passion to attend courses to enhance their knowledge and skills for the role required.
- Experience in a similar healthcare role, delivering hands on patient care, or have the passion to learn and work in a busy healthcare environment following working in a customer focused environment
- Proficient administration skills, such as experience using Microsoft Packages
- Working in a fast\-paced environment.
- Phlebetomy experience would be an advantage.

Pay: £12\.71\-£13\.50 per hour
