Job Summary
We are seeking a highly organised and proactive Operations / Project Administrator to support our project teams and operational functions. This is a varied role that sits at the heart of the company, supporting project delivery, compliance, commercial activities and general business operations. The successful candidate will work closely with the Commercial Director, Contracts Manager and site teams to ensure projects are delivered efficiently and documentation is maintained to a high standard.
Duties
Project Administration
- Maintain project records.
- Maintain project documentation and filing systems.
- Track short term project progress and ensure documentation is up to date.
- Prepare project packs and site start\-up documentation.
- Support the delivery of RFIs, variations and project correspondence.
- Maintain RAMS, permits and compliance documentation.
- Monitor training records, plant inspections and certification.
- Support the preparation and submission of client compliance requirements.
- Ensure project records meet company and client requirements.
- Liaise with suppliers, subcontractors and clients.
- Assist with deliveries.
- Support timesheet collection and workforce records.
- Maintain company databases and management systems.
- Provide administrative support to the commercial team as required.
Essential:
- Previous administration experience.
- Excellent organisational skills and attention to detail.
- Strong Microsoft Office skills, particularly Excel, Word, Outlook and MS Project.
- Ability to manage multiple priorities and meet deadlines.
- Professional communication skills.
- Ability to work independently and as part of a team.
- Experience within construction, civil engineering or utilities.
- Knowledge of project administration processes.
- Experience managing compliance documentation.
- Familiarity with construction management systems and portals.
- Knowledge of product management principles and content management systems like SharePoint
- Highly organised and methodical.
- Positive and proactive approach.
- Strong problem\-solving skills.
- Confident dealing with clients and suppliers.
- Willing to take ownership of tasks and see them through to completion.
- Comfortable working in a fast\-paced and growing business.
