Accountabilities

  • Manage and support day-to-day operational activities across assigned workflows and contributor networks.

  • Serve as a primary point of contact for external contributors regarding tasks, processes, support requests, and operational inquiries.

  • Communicate regularly with internal stakeholders to provide updates on task progress, performance, feedback, and operational status.

  • Monitor workflow execution to ensure tasks progress efficiently and service-level expectations are met.

  • Handle support requests and assist in resolving operational issues in a timely and professional manner.

  • Facilitate the resolution of non-standard situations, escalations, and conflicts between stakeholders and contributors.

  • Track tasks requiring reviews, feedback, approvals, or additional follow-up actions to ensure timely completion.

  • Support onboarding and verification processes for new contributors, ensuring a smooth integration experience.

  • Maintain accurate records and data integrity across project management and internal operational systems.

  • Identify process inefficiencies, recommend improvements, and contribute to the development of scalable operational procedures.

  • Escalate critical risks, incidents, or operational challenges when necessary to ensure business continuity and service quality.

Requirements
  • At least 1 year of experience in an Operations Manager, Operations Specialist, Project Coordinator, Support Manager, Account Manager, or similar operational role.

  • Excellent written communication skills and the ability to engage effectively with diverse stakeholders.

  • Strong organizational skills with the ability to manage multiple tasks, priorities, and workflows simultaneously.

  • High attention to detail and a strong sense of ownership and accountability.

  • Proven ability to work independently, solve problems proactively, and drive tasks through to completion.

  • Adaptability and the ability to quickly learn new processes, systems, and operational frameworks.

  • Comfortable working in fast-paced environments with changing priorities and evolving business needs.

  • Experience using project management and collaboration tools such as Jira, Confluence, or similar platforms.

  • Strong interpersonal skills and the ability to navigate challenging situations with professionalism and empathy.

  • Experience working with freelancers, contractors, or distributed teams is considered an advantage.

  • Familiarity with CRM systems, workflow tools, or communication platforms is a plus.

  • Understanding of digital production, design workflows, or process improvement initiatives is beneficial.

  • Experience contributing to operational process optimization or workflow development is highly valued.
