About the Role
The Operations Manager ensures the smooth and efficient running of IRF Headquarters in Geneva and coordinates and oversees alignment across IRF regional offices. This role covers operations, finance coordination, human resources, governance support, and internal coordination, while promoting consistency and alignment across all entities. The goal is to ensure efficient daily operations and support the organisation's overall objectives.
Key Responsibilities
1\. People \& HR Management
- Manage the full employee lifecycle — recruitment support, onboarding/offboarding, records, and payroll — and keep staff registered with the relevant Swiss social, pension, and insurance bodies.
- Coordinate the annual performance review cycle, staff development, and travel support for staff and consultants.
- Keep HR policies and manuals current and organise the annual staff retreat
- Manage day\-to\-day financial operations: invoices, payments, account reconciliation, and membership billing.
- Support the Director General on the annual budget and monthly actuals, liaising with the external accounting firm for review and audit.
- Review staff expense reports and manage corporate bank account and credit card access.
- Ensure the smooth day\-to\-day running of IRF Headquarters in Geneva, including suppliers, facilities, and IT resources.
- Act as the main coordination point between IRF Headquarters in Geneva and IRF Regional Offices, supporting their alignment with IRF governance, policies, and reporting standards — a coordination function, not direct line management of regional staff.
- Maintain governance records and coordinate statutory meetings (General Assembly, Board, Executive Committee): scheduling, documentation, logistics, and minutes.
- Oversee legal and compliance matters, working with legal counsel as needed.
- Review and improve internal processes and policies, ensuring alignment with Swiss legal and regulatory requirements across all IRF offices.
Essential
- Must be based in Geneva or surrounding areas, with a valid work permit.
- Bachelor's degree in HR, Business Administration, Operations, or a related field.
- Minimum 5 years of experience in operations, HR, or office management.
- Fluency in both French and English (written and spoken).
- Sound knowledge of Swiss labour law and Geneva cantonal HR regulations.
- Good working knowledge of accounting principles and financial tracking.
- Strong organisational and coordination skills with the ability to manage multiple priorities.
- Experience working with external service providers and suppliers.
- Proficiency in standard office software and document management systems.
- Experience in an international or non\-profit organisation.
- Familiarity with Swiss governance and compliance requirements.
- Experience coordinating across multiple offices or regions.
- Knowledge of an additional language.
