Greenwall Solutions is a growing passive fire protection company specialising in fire doors and fire stopping across London and the South East. We are a friendly, fair, family run business.

We're looking for a highly organised, proactive and capable Operations Manager to become a central part of our business.

We are a experienced, rapidly growing business. The chosen candidate will therefore have great career prospects and an exciting journey ahead of them.

We're looking for someone who can act as the operational glue of the company — helping our two Directors stay on top of multiple projects, clients, operatives, deadlines and administrative requirements while making sure tasks are followed through properly from start to finish.

The right person will be someone we can give a task or objective to and trust that it will be owned, progressed and completed without constant supervision.

The Role

You'll work closely with both Directors and become involved across almost every part of the day\-to\-day operation of Greenwall Solutions.

Your responsibilities will include:

  • Coordinating jobs, diaries and schedules

  • Liaising with clients, operatives and subcontractors

  • Monitoring outstanding actions and ensuring deadlines aren't missed

  • Preparing and issuing quotations

  • Ordering and coordinating materials

  • Managing project and compliance documentation

  • Maintaining accurate job records and filing systems

  • Supporting FIRAS and other compliance administration

  • Assisting with invoicing

  • Coordinating recruitment and subcontractor onboarding

  • Maintaining spreadsheets, trackers and management information

  • Helping the Directors organise priorities and follow up outstanding actions

  • Identifying gaps in processes and helping us improve the way the business operates

  • Using AI tools such as ChatGPT to improve productivity, research information, draft documents and streamline everyday administrative tasks

  • Taking ownership of ad\-hoc projects and seeing them through from initial instruction to completion
You won't be expected to know everything on day one. Experience within construction or passive fire protection would be useful, but it isn't essential.

We're much more interested in finding someone with the right attitude, organisational ability and ownership mentality.

This role would suit someone who is:

Process\-driven – you like things documented, tracked and done properly.

Confident – you're comfortable speaking with clients, suppliers and subcontractors and chasing people when necessary.

Commercially aware – you understand that decisions have implications for cost, time and customer relationships.

Tech confident – you're comfortable learning new software and finding better ways of doing things.

AI familiar – you already use tools such as ChatGPT or similar and understand how they can help you work faster and more effectively.

Independent – you're comfortable being given an objective and figuring out the steps required to achieve it.

Most importantly, we're looking for someone who takes genuine ownership of their work.

Our Directors are managing a growing business and regularly have multiple priorities competing for their attention. We need someone who can help bring those moving parts together, keep things organised and make sure important actions don't disappear down the cracks.

Construction industry experience is not required. Full training on our industry, processes and systems will be provided.

Working Pattern

This is a full\-time hybrid position based from our Orpington office.

Monday–Thursday: Orpington office (with some flexibility)
Friday: Work from home
Hours: 9:00am–5:00pm

Occasional travel to sites or meetings may be required.

There is scope for the role and salary to develop as the individual takes on greater responsibility within the business.
