Operations Executive

*Primary Purpose*
To keep Dooa Beauty’s day\-to\-day trading running smoothly, working alongside the sales team to make sure orders, stock and dispatch move accurately and on time. The role is primarily operational, with a secondary focus on supporting the company’s e\-commerce channels (Shopify, Amazon and eBay), email marketing (Klaviyo) and CRM, helping the business trade efficiently across both its B2B and B2C customers.
*Key Measures of Success*
· Daily operational tasks (stock reports, order submission, dispatch reconciliation) completed accurately and on time
· Order and inventory data in Business Central kept clean and reconciled against the 3PL
· Sales team well supported, with order, stock and dispatch queries resolved promptly
· Orders flow from sales through to dispatch with minimal errors or delays
· E\-commerce listings, pricing and stock kept accurate and up to date across channels
*Key Responsibilities*
Operations (primary)
· Produce and maintain the daily stock report, consolidating the three reports from the 3PL (Miniclipper) into the master spreadsheet
· Cross\-check dispatch reports against virtual pick orders in Business Central and resolve any discrepancies
· Submit orders to the 3PL from the sales team’s files, checking accuracy before they go
· Process and progress sales orders through Business Central, keeping order and customer records accurate
· Act as a day\-to\-day point of contact for the sales team on order, stock and dispatch queries
· Carry out stock housekeeping in Business Central, including bin codes and case\-to\-unit conversions
· Liaise with the 3PL and couriers on dispatch, stock and delivery matters
· Pallet booking everyday with logistic companies.
· Monthly pallet storage reconciliation
· Invoice \& cost verification
· Inventory analysis \& reporting
E\-commerce (secondary)
· Support the day\-to\-day running of the Shopify store, including product updates, pricing and basic merchandising
· Help maintain Amazon and eBay listings, stock levels and orders
· Assist with Klaviyo email marketing, including list and segment upkeep and campaign support
· Keep CRM and customer records accurate, and help maintain clean data across channels
· Help reconcile online orders and stock across the various platforms

*Experience Requirements*
· 1 to 3 years in an operations, order processing or e\-commerce support role, ideally in wholesale, distribution or retail
· Experience working with an ERP or order management system (Business Central an advantage)
· Exposure to e\-commerce or marketplace platforms such as Shopify, Amazon or eBay (desirable)
· Experience supporting a sales team or working in a busy trading environment
*Qualifications*
· GCSEs or equivalent, including English and Maths
· A relevant business, operations or IT qualification is an advantage but not essential
*Knowledge / Skills*
· Strong Excel skills, including formulas and working across multiple spreadsheets
· Comfortable learning and working within ERP and CRM systems (Business Central)
· Good working knowledge of e\-commerce and marketplace platforms
· Accurate data entry with a strong eye for detail
· Familiarity with email marketing tools such as Klaviyo is helpful
· Clear written and verbal communication
