Acorn Safety Services is a successful fire, Health, Safety and Legionella consultancy. We service all business sectors specialising with construction.
Our services include health and safety consultancy services, CDM consultancy, construction site safety inspections, fire risk assessments, legionella risk management and training.
The Operations Administrator role fits into the operations department of our Northampton office.
Our offices is located in Northampton at, 25 Chartergate, Quarry Park Close, Moulton Park, Northampton, NN3 6QB.
The Role
Operations Administrator
Primary Purpose
The Operations Administrator at Acorn Safety Services plays a crucial role in ensuring the smooth and efficient operation of our business. As the first point of contact for colleagues, clients, and visitors, you will be the welcoming face of our company, providing essential administrative support to different departments to help us achieve our mission of removing property managers' compliance problems without additional costs, delays, or surprises. Your role will be pivotal in maintaining the high standards of quality, integrity, and teamwork that are the foundation of our core values.
Role Description
As the Operations Administrator, you will be responsible for acting as a first point of contact for colleagues, clients, and visitors. You will handle incoming phone calls, respond to emails, and direct enquiries to the appropriate individual or department, ensuring that all interactions are managed with the highest level of professionalism and efficiency.
You will prepare documents, reports, and correspondence to support various operational activities. This includes ensuring that all documentation is accurate, formatted correctly, and delivered in a timely manner.
Support will be provided to the accounts department by assisting with invoicing queries, ensuring that all financial transactions are processed smoothly and efficiently.
You will assist with travel arrangements, including the booking of transport and accommodation, to ensure that our team can operate effectively across various locations.
The role involves checking client data to ensure it is correct and updated. Any anomalies must be reported promptly to maintain data integrity.
Raising of works orders is a key responsibility, requiring attention to detail and accuracy to ensure that all orders are processed correctly and efficiently.
You will be responsible for managing the reporting system, ensuring that Key Performance Indicators (KPIs) are met, reports are formatted correctly, and reports are sent ready for invoicing.
Assisting the Operations Manager with booking in sites for consultants is another essential aspect of the role, ensuring that all bookings are coordinated effectively to support our consultancy operations.
